Job description

What You'll Do
The Sr Administrative Assistant is responsible for providing support to mid-level leaders with a broad range of administrative support. This individual will have regular interactions with a variety of leader levels, will be tasked with calendar management, project coordination, meeting support, and other value added tasks as determined by business need. This role ensures efficient management of day-to-day operations, including scheduling, meeting preparation, communications, and project assistance. Sr Administrative Assistants balance multiple priorities, act as a reliable resource and model high standards of service excellence across the administrative community. They should anticipate leader needs, act as liaisons with key internal and external partners, and ensure organizational priorities are executed efficiently and effectively. They work with confidentiality, influence, and collaboration while supporting a high level of complex scheduling and materials.
  • Day-to-day calendar management for mid-level leaders of a department identified by business-driven value, including scheduling and managing leaders availability, handling meeting logistics, process meeting requests on behalf of leaders supported based on availability and priority, and maintain and organize meeting materials. Uses attention to detail to identify scheduling conflicts and proactively engages with others to resolve. Understands priorities of the person(s) supported, as well as their business needs.
  • Responsible for making recommendations on the most efficient and effective way for the person(s) supported to organize their work. Provides moderate to heavy inbox management. Can connect various channels of information/communications together to make assessments and assist in prioritizing information for the person(s) supported. Provided high-level training/guidance on how to navigate technology platforms such as travel and expensing platforms along with other department specific technology platforms. May coordinate/draft/edit monthly reports, order supplies, manage role and access requests, assist with on-boarding new employees, research and book travel arrangements in partnership with those supported, expense management, creation/maintenance of distribution lists. Initiate some HR tasks on behalf of person(s) supported.
  • May be involved in a variety of business-value driven department or business-wide projects of complex nature tied to strategy and business plans with broader organizational impact.
Who You Are
  • 4+ years of related experience or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, or education. High school diploma required, associate degree preferred.
  • Strong organizational skills and strong attention to detail.
  • Strong verbal and written communication skills.
  • Ability to gather and consolidate data from various sources.
  • Ability to set priorities, handle multiple tasks and meet deadlines.
  • Flexible and adaptable to rapidly changing priorities and the ability to handle confidential information.
  • Keyboarding and adaptability in computer, web and mobile business applications, proficiency in Windows based computer applications (Microsoft Office) and the operation of office equipment.
Salary Range Information
Salary ranges below reflect targeted base salaries. Non-sales positions have the opportunity to participate in a bonus program. Sales positions are eligible for sales incentives, and in some instances a bonus plan, whereby total compensation may far exceed base salary depending on individual performance. Actual compensation for all roles will be based upon geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer.

Time Off Program
