Overview – Senior Executive Assistant / Operations Coordinator

An internationally recognized consulting and financial services firm is seeking a polished and highly organized Senior Executive Assistant / Operations Coordinator to support senior leadership within a fast-paced, client-driven environment. This highly visible role is ideal for an experienced administrative professional who excels in a collaborative hybrid workplace and enjoys serving as a strategic partner to executives and project teams.


The position requires strong judgment, exceptional attention to detail, and the ability to manage multiple high-priority responsibilities while maintaining confidentiality and professionalism. The successful candidate will play a critical role in supporting business operations, coordinating executive workflows, and helping leadership teams operate efficiently in a dynamic, deadline-oriented setting.


Key Responsibilities – Senior Executive Assistant / Operations Coordinator

  • Provide high-level executive support to senior leaders, including complex calendar management, travel coordination, meeting logistics, and expense reporting
  • Manage shifting priorities and scheduling demands across multiple executives and business teams
  • Assist with monthly billing and financial administration, including invoice preparation, narrative review, time tracking coordination, and accounts receivable follow-up
  • Support client onboarding activities, engagement documentation, conflict-related processes, and organization of project materials and correspondence
  • Coordinate internal meetings, external client events, presentations, and business development initiatives
  • Prepare, revise, proofread, and format reports, presentations, spreadsheets, and professional correspondence with a high degree of accuracy
  • Maintain organized administrative systems, records, and confidential files to support operational efficiency
  • Serve as a resource to junior administrative staff by assisting with onboarding, mentoring, and informal training initiatives
  • Collaborate with internal departments and cross-functional teams to ensure timely completion of projects and deliverables
  • Identify opportunities to improve administrative processes, workflows, and team coordination efforts
  • Handle sensitive and confidential information with discretion and professionalism


Qualifications – Senior Executive Assistant / Operations Coordinator

  • 5+ years of executive assistant, operations, or high-level administrative experience within a law firm, consulting firm, financial services organization, or comparable professional services environment
  • High school diploma or equivalent required; additional education or certifications a plus
  • Strong communication and interpersonal skills with the ability to interact effectively with senior leadership and clients
