Job Summary

Battelle has an opportunity for an experienced Senior Executive Assistant to provide strategic administrative and operational support to both the Chief Information Officer (CIO) and the Chief Audit Executive (CAE). The role directs executive time, priorities, and administrative operations to ensure the successful execution of Battelle's strategic objectives.

The Senior Executive Assistant serves as a trusted partner to executive leadership, managing complex schedules, coordinating leadership priorities, and supporting governance activities including Board of Directors and Audit Committee engagements. The position also supports Internal Audit coordination including confidential investigation scheduling and preparation of governance materials.

The role works closely with the Senior Executive Assistant team, the Office of the President and CEO, the Office of the General Counsel/Corporate Secretary, Internal Audit leadership, and other stakeholders to support executive operations and governance processes.

Responsibilities

Executive Administrative Support

  • Provide broad and complex executive administrative support to the CIO and CAE.

  • Manage executive calendars, priorities, and scheduling to ensure efficient use of leadership time.

  • Coordinate internal and external meetings, executive briefings, and leadership team meetings.

  • Prepare meeting agendas, capture action items, and follow up on commitments and deliverables.

  • Coordinate travel arrangements, professional engagements, and executive events.

Board and Audit Committee Support

  • Coordinate preparation and administrative management of executives' Board of Directors and committee obligations.

  • Assist with drafting and editing agendas, reports, and presentations for Board and Audit Committee meetings.

  • Coordinate collection and submission of materials to ensure governance deadlines are met.

  • Prepare briefing documents and presentation materials for Board meetings.

  • Maintain organized and secure repositories of governance materials.

  • Work closely with the Board Coordinator, CEO Office, and General Counsel/Corporate Secretary to align processes and timelines.

Internal Audit Coordination and Investigation Support

  • Provide administrative coordination for the Internal Audit organization.

  • Schedule confidential meetings associated with internal audit investigations involving investigators, legal, HR, and leadership.

  • Track investigation-related meetings, timelines, and follow-up actions.

  • Maintain strict confidentiality of investigation activities and materials.

  • Assist in preparing summaries or briefing materials related to investigation activity when required for executive or governance reporting.

Executive Operations and Communications

  • Manage high volumes of confidential correspondence and determine priority or delegation.

  • Draft executive communications, briefing materials, and presentations.

  • Track commitments and ensure requested materials from teams are delivered on time.

  • Maintain organized executive files and prepare background information for meetings.

Administrative and Financial Coordination

  • Support travel documentation, expense reports, purchase orders, and procurement card activity.

  • Coordinate preparation of background materials to support executive decision making.

Collaboration and Team Engagement

  • Partner with the Senior Executive Assistant team and the Office of the CEO to support executive leadership operations.

  • Foster teamwork among administrative staff supporting senior leaders.

  • Coordinate across leadership teams to ensure readiness for executive engagements and presentations.

Key Qualifications

  • Associate or bachelor's degree with at least 8 years of experience supporting C-suite or senior executives in a complex organization or equivalent experience.

  • Experience supporting governance activities such as Board of Directors or committee processes.

  • Experience coordinating confidential activities including internal reviews or investigations preferred.

  • Strong proficiency with Microsoft Office 365; experience with AI tools such as Copilot preferred.

  • Excellent organizational, communication, and analytical skills.

  • Demonstrated ability to manage multiple priorities while maintaining strong attention to detail.

  • Ability to maintain strict confidentiality and exercise sound judgment.

  • Ability to thrive in a fast-paced environment and provide occasional support outside normal business hours.
