Join Our Team at DCFS: Administrative Assistant 5 This is a highly advanced clerical position in which the incumbent serves as an administrative assistant to the Child Welfare Manager 2 relieving them of all minor administrative matters as well as serving as a confidential secretary.

This position requires frequent application of independent judgement and initiative. AN IDEAL CANDIDATE SHOULD POSSESS THE FOLLOWING COMPETENCIES: Selected Core Competencies: Communicating Effectively: The ability to convey information, ideas, and emotions using structured communication methods that promote understanding and engagement. Following Policies and Procedures: The ability to follow, reinforce, adapt, or develop policies and procedures to maintain compliance with federal and state legal requirements, State Civil Service rules, and organizational policies.

Making Accurate Judgments: The ability to assess options, weigh risks, and make sound decisions using available information and logical reasoning. Selected Preferred Competencies: Displaying Professionalism: The ability to uphold workplace standards through consistent conduct, responsible communication, and consideration for others. Managing Time: The ability to prioritize tasks, meet deadlines, and allocate time to ensure timely completion of work goals.

EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information Job Duties: Prepares materials for meetings, including agendas, handouts, and binders; may attend meetings to transcribe minutes. Performs duties independently and exercises a high degree of independent judgement and initiative in determining the appropriate action in routine and non-routine matters.

Serves as a payroll/time administrator for staff. Maintains contact with public and private entities, professional, and field staff for the Child Welfare Manager 2. Arrange scheduled conferences and staff meetings and transcribe and distribute minutes of any conferences and meetings as needed.

Coordinates and confirms travel arrangement for Child Welfare Manager 2 and CW staff as designated. Position-Specific Details: Appointment Type: This position may be filled as a probational appointment or a job appointment that may last up to 48 months. Job appointments may convert to probational appointments.

Also, it may be filled as a detail and promoted within 12 months or by promotion of a permanent classified employee. Work Schedule: Typically, work hours are 8:00 am to 4:30 pm, Monday - Friday. Flexible work schedules are available after meeting certain criteria and is dependent upon the position you are applying for.
