SENIOR OFFICE ASSISTANT
Reports to: Executive Liaison Officer
Status: Regular, Full-time, Non-Exempt
Location: Anchorage, AK
JOB SUMMARY: The Senior Office Assistant provides advanced administrative support across the corporate office and serves as a key resource for staff, executives, and shareholders. This role requires a high level of professionalism, independent judgment, and proactive problem-solving. The Senior Office Assistant not only manages day-to-day office operations but also mentors other administrative team members, supports complex projects, and contributes to process improvements that enhance efficiency and service. With strong organizational skills and a collaborative mindset, this position ensures smooth office functions and fosters a welcoming, professional environment.
PRIMARY RESPONSIBILITIES
  • Champion Aleut values: accountability, transparency, and rigor.
  • Provide high-level administrative support to the Executive Liaison, executives, and corporate departments, including managing sensitive and time-critical assignments.
  • Lead front desk operations and coordinate daily priorities among administrative staff.
  • Manage complex scheduling and provide oversight of conference room calendars; act as liaison with IT and facilities teams to resolve conflicts or technical issues quickly.
  • Oversee mail services, office supply inventory, and breakroom stock; anticipate needs and implement proactive solutions.
  • Coordinate and track office maintenance, facility projects, and vendor services, serving as the primary onsite contact.
  • Support and, as needed, lead the planning, logistics, and execution of corporate events, meetings, and shareholder activities.
  • Maintain accurate records, files, and databases; ensure data integrity and timely documentation of shareholder interactions.
  • Prepare expense reports and assist with budget tracking for the administrative function.
  • Mentor and support office assistants by sharing knowledge, reviewing desk manuals, and ensuring consistent processes across the team.
  • Identify opportunities to improve administrative workflows and contribute to the development of best practices.
  • Assist executives and staff with special projects, often involving cross-departmental collaboration.
  • Represent the administrative team in meetings; contribute to agenda planning and follow-up on action items.
  • Perform other duties and assignments as needed.

  • Aptitude to learn Asana program and utilize on a daily basis alongside team, assist with updating Administrative Team page and take part in leading admin team check in meetings.
  • Displays consistent punctuality, professional appearance in grooming and dress, and a friendly, appropriate demeanor. Clear and early communication is provided on absences requested for sick or personal leave.
  • Shows initiative to seek out work when all assigned tasks are either completed or not requiring immediate attention.
  • Willingness to ask questions for clarification when given a task or project to ensure a high-quality result.
  • Skill in ability to collaborate effectively and professionally with all levels of management, staff, and affiliated-company employees across Aleut.

MINIMUM QUALIFICATIONS
  1. High School Diploma or GED required
  2. Five (5) years of progressively responsible experience in an office setting, including at least one (1) year in a senior or lead administrative role; or any combination of experience, education, and training in a related field of work.
  3. Valid Driver's License
