Proposal Specialist

Full-Time | On-site

We are seeking a highly skilled, detail-oriented Proposal Specialist who excels in writing, editing, and producing compelling proposal and marketing materials. This role is ideal for a strong individual contributor who brings advanced capabilities in content development, technical writing support, and marketing execution.

The ideal candidate has the potential to grow into a more senior-level specialist as they master the role.

This is a site based position and requires working in the Orlando office 5 days per week.

Key Responsibilities

Proposal Development

  • Write, edit, and format proposal responses, qualifications packages, and technical documents for RFPs/RFQs.
  • Develop and refine content such as project descriptions, resumes, cover letters, key differentiators, and capability statements.
  • Ensure accuracy, clarity, and compliance through thorough proofreading and editing.
  • Coordinate with internal stakeholders to gather needed information and maintain proposal content libraries.
  • Assist in managing timelines and delivering polished, professional proposal packages.

Creative & Design

  • Use Adobe InDesign to format proposals, collateral, and branded templates.
  • Support layout design, graphics updates, and light visual editing using Adobe Creative Suite applications.
  • Assist with preparing visually polished documents and marketing materials.

Qualifications

  • Bachelor’s degree in Marketing, Communications, Journalism, English, Business, or related field (or equivalent experience).
  • 2–5 years of experience in marketing, proposal development, communications, or a related field.
  • Exceptional writing, editing, and proofreading skills with strong attention to detail.
  • Experience contributing to technical writing or proposal-related content.
  • Proficiency with Adobe InDesign and familiarity with Adobe Creative Suite (Photoshop, Illustrator).
  • Strong organizational skills and ability to manage multiple deadlines independently.
  • Ability to collaborate with internal teams and communicate professionally.

Preferred Skills (Not Required)

  • Familiarity with CRM or proposal management tools.
  • Experience in a professional services, facilities, real estate or construction environment.
