Job description
The Program Coordinator is responsible for the day-to-day coordination and administration of designated academic and student programs, including the Accelerated iBMS (AMP), Clinical Laboratory Sciences (CLS), and Dental Linker (DLP) programs. The position serves as a primary program resource for students, faculty, program leadership, academic administrators, and external academic and clinical partners.
The Program Coordinator independently coordinates program processes, student progression activities, admissions-related activities, clinical and laboratory experiences, accreditation documentation, program communications, and program-specific reporting. The position ensures that established academic, clinical, regulatory, accreditation, and institutional requirements are implemented consistently across assigned programs. The position requires the ability to interpret program requirements, coordinate activities involving multiple stakeholders, monitor completion of academic and program milestones, identify operational issues, and recommend solutions to support program effectiveness and student success.
The Program Coordinator is responsible for program-specific coordination and implementation and does not serve as general clerical or secretarial support for faculty, academic chairs, or administrative offices.
ResponsibilitiesProgram Coordination and Administration
- Coordinate the day-to-day implementation of assigned academic programs and ensure that program activities are carried out in accordance with established academic policies, procedures, timelines, and requirements.
- Serve as a primary program resource for students, faculty, program leadership, administrators, and designated external partners.
- Coordinate program calendars, academic activities, student milestones, and program deliverables to ensure timely completion of required activities.
- Monitor program processes and identify operational issues that may affect student progression, program effectiveness, or compliance.
- Recommend improvements to program processes, procedures, communication practices, and student support activities.
- Coordinate with appropriate institutional offices to resolve program-specific academic, registration, technology, facilities, and student-service matters.
Admissions and Student Progression
- Coordinate admissions-related activities for assigned programs, including applicant communications, interview scheduling, interview logistics, information sessions, orientations, and related recruitment activities.
- Coordinate communications and materials associated with admissions interviews and program onboarding.
- Coordinate student enrollment, onboarding, program entry requirements, and other program-specific processes.
- Monitor student progression and program completion requirements and communicate outstanding requirements to students and appropriate program personnel.
- Track conditional acceptance requirements and other program-specific student obligations.
- Monitor completion of required academic deliverables and follow up with students regarding established program deadlines.
- Coordinate mock interview and professional-development activities, including scheduling participants, distributing program materials, and coordinating collection of feedback.
- Maintain appropriate student and program records in accordance with institutional policies and applicable privacy requirements.
Academic and Clinical Program Coordination
- Coordinate with program faculty regarding student laboratory rotations, clinical experiences, and other required program activities.
- Assist with the placement and scheduling of students in required laboratory and clinical experiences in accordance with established program requirements.
- Coordinate documentation associated with hospital, clinical, laboratory, and other external program affiliations.
- Communicate established requirements, schedules, expectations, and documentation requirements to students, faculty, and external partners.
- Monitor completion of program-specific clinical, laboratory, and academic requirements and escalate unresolved issues to appropriate program leadership.
Accreditation, Compliance, and Program Reporting
- Coordinate the collection, organization, maintenance, and tracking of program documentation required for accreditation, regulatory, institutional, or program review purposes.
- Maintain program accreditation records and supporting documentation in accordance with established requirements.
- Assist program leadership in preparing for accreditation reviews, site visits, program evaluations, and other compliance activities.
- Monitor established program requirements and identify missing documentation, deadlines, or potential compliance issues for review by program leadership.
- Compile program-specific information and reports as requested by program leadership or institutional offices.
- Ensure that assigned program processes are implemented consistently with applicable institutional policies and accreditation requirements.
Program Resources and Operational Support
- Monitor program-specific expenditures and maintain appropriate documentation related to approved program activities.
- Coordinate program-related purchasing, invoices, and financial documentation in accordance with institutional procedures.
- Coordinate with institutional departments and approved external partners regarding resources required for program activities.
- Maintain accurate program records, databases, tracking tools, and other systems used to monitor program activities and student milestones.
- Develop and maintain program-specific tracking mechanisms to support deadlines, student progression, accreditation requirements, clinical experiences, and other program obligations.
Communication and Collaboration
- Develop and distribute program-specific communications regarding requirements, deadlines, schedules, procedures, and academic activities.
- Establish and maintain effective working relationships with students, faculty, academic administrators, clinical partners, hospitals, laboratories, and other external organizations.
- Facilitate communication among program stakeholders to support timely resolution of program-related issues.
- Represent assigned programs professionally when interacting with students, faculty, institutional departments, and external partners.
- Perform other program-related responsibilities consistent with the scope and level of the position.
- Bachelor's degree from an accredited college or university in education, healthcare administration, business administration, life sciences, liberal arts, or a related field.
- Two or more years of progressively responsible experience in academic program coordination, higher education administration, healthcare education, student services, clinical education, program administration, or a related field.
- Experience coordinating activities involving multiple stakeholders, deadlines, and program requirements.
- Experience in a college, university, healthcare education, clinical, or similarly regulated environment preferred.
- Experience supporting accreditation, program assessment, clinical education, student progression, or regulatory requirements preferred.
- Knowledge of academic program administration, student progression, and program coordination principles.
- Ability to independently coordinate complex program activities involving students, faculty, administrators, and external partners.
- Ability to interpret established academic, program, accreditation, and institutional requirements and apply them to day-to-day program operations.
- Strong organizational and project-coordination skills with the ability to manage multiple concurrent priorities and deadlines.
- Strong analytical and problem-solving skills and the ability to identify issues, evaluate options, and recommend appropriate solutions.
- Excellent written and verbal communication skills.
- Ability to communicate effectively with students, faculty, administrators, healthcare professionals, clinical partners, and external organizations.
- Ability to maintain accurate and confidential student and program records.
- Ability to monitor compliance requirements and maintain detailed documentation.
- Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Ability to learn and effectively use institutional student information systems, databases, reporting systems, and other technology platforms.
- Ability to exercise sound judgment, maintain confidentiality, and handle sensitive academic and student information appropriately.

PHYSICAL REQUIREMENTS
- Ability to work for extended periods at a computer or workstation while performing program coordination, documentation, data review, communication, and other administrative functions.
- Ability to frequently communicate in person, by telephone, videoconference, and electronic communication.
- Ability to routinely move throughout academic and administrative facilities to attend meetings, coordinate program activities, and interact with students, faculty, and institutional partners.
- Ability to occasionally transport or carry materials, files, equipment, or supplies weighing up to approximately 20 pounds.
- Ability to use standard office and computer equipment.
