Job Summary
We are seeking a highly organized Product Operations & Program Coordinator to support cross-functional product teams by planning, coordinating, and facilitating team engagements, workshops, and operational initiatives. This individual will work closely with product leaders, coaches, and technical teams to ensure successful execution of team onboarding, scheduling, collaboration events, and continuous improvement initiatives.
The ideal candidate is an exceptional organizer with experience supporting product organizations, Agile teams, or innovation programs within a large enterprise. They thrive in fast-paced environments, excel at stakeholder communication, and are passionate about creating seamless team experiences that enable high-performing product organizations.
Key Responsibilities
Program & Engagement Coordination
  • Coordinate and manage product team engagements, workshops, onboarding sessions, and collaborative events.
  • Partner with program leaders to plan, prioritize, schedule, and execute engagement activities.
  • Maintain a pipeline of upcoming team engagements and ensure readiness for future initiatives.
  • Track engagement timelines, milestones, dependencies, and deliverables.

Product Operations Support
  • Support product teams by organizing documentation, templates, processes, and operational resources.
  • Ensure teams, facilitators, and coaches have the tools, information, and materials necessary for successful engagements.
  • Continuously improve operational processes, documentation, ceremonies, and team workflows.
  • Organize information into easily consumable formats for cross-functional teams.

Event & Logistics Management
  • Coordinate both in-person and virtual meetings, workshops, and hybrid collaboration sessions.
  • Schedule meetings based on facilitator availability and business priorities.
  • Coordinate meeting logistics including conference rooms, audiovisual equipment, technology setup, catering, and attendee communications.
  • Ensure all operational details are completed prior to scheduled engagements.

Stakeholder Communication
  • Communicate regularly with product leaders, coaches, facilitators, and business stakeholders regarding schedules, priorities, updates, risks, and changes.
  • Provide timely status updates and proactively address scheduling conflicts or operational challenges.
  • Build strong working relationships across multiple business and technology organizations.

Continuous Improvement
  • Identify opportunities to improve operational processes and team experiences.
  • Recommend enhancements to workflows, templates, scheduling processes, and communication practices.
  • Support initiatives that improve collaboration, efficiency, and product delivery effectiveness.

Administrative & Operational Support
