Job Title: Maintenance Scheduler
Job Description

This role coordinates and schedules maintenance activities using a computerized maintenance management system (CMMS), ensuring that work orders, preventive maintenance tasks, and material orders are processed accurately and on time. The Maintenance Scheduler supports the maintenance team by planning work, managing parts and tools, and maintaining accurate records to keep operations running smoothly.

Responsibilities

  • Screen work requests and clarify expectations with requestors in a timely manner, in alignment with department standards.
  • Manage and prioritize work orders within the CMMS to ensure accurate planning and execution of maintenance activities.
  • Perform initial scheduling of preventive maintenance (PM) tasks on a monthly basis and follow up to ensure the PM schedule is fully completed according to department standards.
  • Place orders for components, equipment, and specialized tools based on parts lists provided by maintenance leadership, ensuring timely availability of materials.
  • Physically rack, organize, and label components within the tool crib so technicians can easily locate and access required parts.
  • Conduct field walks to identify work requirements, verify job scopes, and perform on-site auditing and inventory as needed.
  • Participate in weekend work planning activities as required by the department to support ongoing maintenance needs.
  • Assist maintenance leadership with clerical tasks, auditing activities, and inventory-related projects to support efficient department operations.
  • Compile, generate, and deliver reports from the CMMS as requested by maintenance leadership, ensuring data accuracy and completeness.
  • Troubleshoot and resolve technical issues related to the CMMS to maintain system reliability and data integrity.
  • Support schedule planning activities by coordinating resources, materials, and timelines for maintenance work orders.
Essential Skills
  • Proven experience managing work orders in a maintenance or similar operational environment.
  • Hands-on experience using a CMMS (computerized maintenance management system) for scheduling, tracking, and reporting maintenance activities.
  • Experience placing orders for components, equipment, and tools to support maintenance work.
  • Ability to organize, label, and maintain inventory within a tool crib or similar parts storage environment.
  • Strong attention to detail when screening work requests, scheduling PMs, and compiling reports.
  • Capability to perform field walks to identify work requirements and verify job details.
  • Basic problem-solving skills to address technical issues with the CMMS.
  • Effective communication skills to clarify expectations with requestors and collaborate with maintenance leadership.
