AMERI-CANS is looking to hire a full-time Maintenance Dispatcher at our location in Manassas Park, VA. The Maintenance Dispatcher serves as a key point of contact for both customers and internal teams, playing a crucial role in ensuring that service operations are smoothly executed. This role is responsible for managing the workflow of service requests, ensuring accurate documentation of service activities, and facilitating effective communication between customers, technicians, and management. The Maintenance Dispatcher will utilize Service Core to create route service jobs, distribute necessary work documentation, maintain historical service records, track ongoing maintenance activities and facilitate administrative processes. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a customer-first mindset.

Job Duties and Responsibilities: (Essential Job Duties) Common activities listed below: actual position responsibilities may vary.

  • Serve as the first point of contact for customers, responding to calls, emails, and inquiries while providing clear updates and ensuring strong customer satisfaction.
  • Create detailed service jobs in ServiceCore, capturing all required job information, parts, notes, and customer details accurately.
  • Route and assign jobs efficiently based on technician availability, skill set, workload, and service priority; monitor progress and timelines.
  • Distribute all required checklists, worksheets, and service documents to technicians and ensure accuracy and completeness.
  • Collect, review, and verify completed documentation from field staff, addressing discrepancies before closing any job.
  • Maintain organized historical service records, ensuring proper filing, retention, and accessibility for audits, reference, or compliance needs.
  • Update the maintenance tracker and job statuses regularly, monitoring delays, identifying bottlenecks, and escalating issues as necessary.
  • Maintain accurate customer files in Teams, including service histories, communication logs, and follow-up notes, ensuring seamless coordination across departments.

Essential Functions:

  • Strong organizational skills and attention to detail.
  • Effective verbal and written communication skills.
  • Ability to follow instructions and use proper judgment when addressing customer or technician inquiries.
  • Familiarity with Service Core or similar service management platforms preferred.
  • Reliability and dependability in a fast-paced operations environment.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Valid driver’s license with a clean driving record
  • Minimum 2 years of experience in customer service, dispatching, administrative support, or service writing—preferably in maintenance, facilities, or technical services.
  • Familiarity with service management software (ServiceCore) highly desirable.
  • Ability to read and interpret documents such as procedure manuals and service notes.
  • Ability to make basic calculations (job estimates, time, parts usage, percentages, invoices).
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Microsoft Teams.
  • Must be authorized to work in the United States; some customer sites require U.S. citizenship and a clean background.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are the representative of the knowledge, skill and/or ability required. Position requires the ability to sit or stand for long periods of time; move fingers and hands, ability to stoop, crawl, bend, twist, reach, and crouch. Perform the essential duties with minimal or no supervision. Lift and carry up to 50 lbs.
