What does a full time outage planner do?

A Full Time Outage Planner is responsible for scheduling, coordinating, and overseeing planned outages in facilities such as power plants, manufacturing sites, or industrial operations. Their main duties include developing detailed outage plans, ensuring all resources and materials are available, and communicating with various teams to minimize downtime and maintain safety. They work closely with maintenance, operations, and engineering departments to ensure that all maintenance or upgrade activities are completed efficiently and within the scheduled timeframe. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

What are the key skills and qualifications needed to thrive as a full time outage planner, and why are they important?

To thrive as a Full Time Outage Planner, you need strong organizational skills, experience in maintenance planning, and a background in engineering or a related technical field. Familiarity with Computerized Maintenance Management Systems (CMMS), project management software, and relevant certifications such as PMP are typically required. Excellent communication, problem-solving abilities, and attention to detail help ensure effective coordination among multiple teams and stakeholders. These skills are crucial for minimizing downtime, maximizing efficiency, and ensuring the safety and success of outage projects.

What are the main challenges full time outage planners face when coordinating multiple maintenance activities, and how can they be addressed?

Full Time Outage Planners often grapple with balancing the schedules and resource needs of various maintenance teams, ensuring that critical equipment is available and that safety protocols are strictly followed. Coordinating with multiple departments—such as operations, safety, and engineering—requires strong communication skills and meticulous attention to detail. These challenges can be addressed by using advanced planning software, holding regular coordination meetings, and maintaining clear documentation to prevent overlaps or miscommunications. Being proactive and adaptable is key to managing unexpected changes or emergencies during the outage period.

What is the difference between Full Time Outage Planner vs Full Time Maintenance Scheduler?

Job description

Outage Planner - Decatur, IL
This is a permanent, full-time, exempt-level position located on-site at our operation in Decatur, IL.
Job Summary
Planned outages are critical opportunities to safely execute maintenance, reliability, and capital work that cannot be performed while equipment remains in service.  As an Outage Planner, you will be responsible for developing detailed, executable work packages that support the safe and efficient execution of routine plant outages and maintenance windows.
This role serves as the bridge between Maintenance, Operations, Engineering, Reliability, and contractors by transforming approved work into comprehensive execution plans.  Responsibilities include developing job plans, estimating labor requirements and durations, coordinating materials, performing field walkdowns, identifying execution constraints, and supporting outage execution from planning through closeout. The Outage Planner will also assist with the planning and execution of larger cycle-ending shutdown events as needed.
Unlike major turnaround or shutdown events that require months of planning and coordination, the Outage Planner is primarily focused on the successful planning and execution of smaller planned outages throughout the year. Success in this role requires ensuring work is thoroughly planned, coordinated, and execution-ready while minimizing impacts to plant operations.
The ideal candidate is a proactive self-starter who prioritizes safety, demonstrates strong organizational and problem-solving skills, communicates effectively across cross-functional teams, and thrives in a fast-paced manufacturing environment.
Key Responsibilities

  • Develop detailed job plans and work packages, including work instructions, labor estimates, craft requirements, tooling, equipment, and duration estimates
  • Conduct field walkdowns to validate job scope, identify risks and constraints, and improve execution readiness
  • Coordinate outage activities between Operations, Maintenance, Engineering, Reliability, Procurement, and contractors
  • Identify required labor, specialty tools, equipment, materials, and contractor resources necessary for successful execution
  • Identify scheduling constraints and communicate work package readiness for execution
  • Provide field support during outage execution by resolving planning-related issues and coordinating scope changes as needed
  • Capture lessons learned following outage execution and continuously improve job plans, work packages, and planning processes
  • Support larger shutdown events by assisting with planning activities, work package development, and execution support as required

Travel Requirements

  • Travel to manufacturing facilities as required to support planning activities, outage execution, and occasional shutdown support, less than 10% of time

Required Qualifications

  • Minimum of five (5) years of planning or maintenance experience in an industrial or manufacturing environment
  • Experience using Maximo, SAP PM, or another Computerized Maintenance Management System (CMMS)
  • Strong understanding of planning, work management, and preventive maintenance principles
  • Demonstrated ability to read and interpret engineering drawings, P&IDs, equipment manuals, and technical specifications
  • Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Microsoft Project
  • Excellent organizational, analytical, communication, and problem-solving skills
  • Ability to manage multiple priorities while maintaining a high level of attention to detail
  • Ability to travel as necessary

Preferred Qualifications

  • Working knowledge of scheduling software such as Primavera P6 or Microsoft Project is preferred
  • Experience in processing industries such as agriculture, oil/gas, or chemical/petrochemical manufacturing or refining
  • High school diploma or higher

Excited about this role but don't think you meet every requirement listed?  Studies have shown that applicants may self select-out of consideration if they do not meet all posted qualifications.  We encourage you to apply anyway. You may be just the right candidate for this role or another one of our openings.
ADM requires the successful completion of a background check.
