Job description

Executive Assistant

Principally supporting the Group Head of Technology Services IT, as their Executive Assistant

Maintain daily calendar, adjusting as needed to accommodate last minute scheduling changes – schedule all meetings, video conferences and conference calls.

Work with global teams to arrange briefings, meetings, etc. and ensure receipt of appropriate materials.

Coordinate all travel arrangements & itineraries for the principal.

Prepare and process time and expense/travel reports on behalf of the principal.

Arrange external meetings with external clients.

Good familiarization with MS Office 365 / TEAMS / Skype applications.

Order/maintain office supplies and department equipment requirements.

Arrange logistics for key executive hires.

Maintain organization charts.

Organize agenda and all material for executive meetings hosted by the Principle.

Handle all personnel and confidential company materials with sensitivity and discretion.

Liaise with tech support for resolving technology issues and needs for the Principle.

Develop relationships with peer group of assistants across globe and functions.

Assist with additional projects as needed.
