The Opportunity

Think Evolutionary is seeking a highly capable, polished, and proactive Executive Assistant for the CEO to support a distinguished client in the investment and financial services sector.

This is a high-visibility role for an experienced executive support professional who can anticipate needs, manage competing priorities, protect executive time, and represent the Office of the CEO with discretion, warmth, and exceptional judgment. The successful candidate will serve as a trusted partner to the CEO while supporting executive operations, stakeholder engagement, Board activities, communications, and key business initiatives.


Job Overview

The Executive Assistant for the CEO will provide comprehensive administrative, operational, and communications support to the Chief Executive Officer. This position requires outstanding calendar management, executive presence, written communication, relationship management, and the ability to operate calmly in a fast-paced environment with frequent changes.

The ideal candidate is highly organized, detail-oriented, technologically adept, and comfortable supporting senior executives, Board members, clients, and external stakeholders. This role requires sound judgment, confidentiality, flexibility, and a hospitality-driven approach to executive support.


Key Responsibilities

Executive Calendar Management & Daily Operations

  • Manage the CEO’s complex calendar, including scheduling, prioritization, confirmations, agendas, and meeting logistics.
  • Coordinate internal and external meetings while ensuring the CEO has appropriate background materials, stakeholder context, and follow-up priorities.
  • Maintain a daily tracker of open questions, decisions, commitments, and priorities; proactively follow up on unresolved items.
  • Manage multiple inboxes, calendars, and executive communications with accuracy, urgency, and discretion.
  • Maintain and update CRM records with detailed contact information, relationship context, and relevant stakeholder details.

Executive Meeting Preparation & Follow-Up

  • Prepare the CEO for meetings by organizing briefing materials, relationship insights, agendas, and relevant questions.
  • Track required materials by meeting type and deadline; follow up with stakeholders to ensure timely delivery.
  • Coordinate virtual and in-person meeting logistics, including Zoom, Teams, webinar support, room setup, attendee coordination, recordings, and technical readiness.
  • Prepare, proofread, print, and distribute meeting materials, presentations, speeches, notes, and related executive communications.
  • Document and track follow-up actions, contacts, and key meeting information within Salesforce or another CRM platform.

Travel, Expenses & Logistics

  • Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries, and contingency planning.
  • Resolve travel disruptions and last-minute changes proactively while maintaining a high level of service.
  • Prepare and submit accurate, timely expense reports in accordance with company policy.
  • Support travel coordination and expense reporting for Board leadership in connection with Board meetings.

Office Representation & Stakeholder Experience

  • Serve as a professional and welcoming point of contact for senior leaders, clients, Board members, visitors, and executive assistants.
  • Greet and escort guests, coordinate visitor registration and building access, prepare meeting rooms, and ensure a polished hospitality experience.
  • Maintain composure and professionalism amid shifting schedules, unexpected delays, and competing demands.
  • Build strong working relationships with internal stakeholders, external partners, and executive support counterparts.

Board & Executive Initiative Support

  • Partner with executive leadership to coordinate Board meetings, including contact management, logistics, materials, travel support, and follow-up actions.
  • Support executive initiatives by tracking action items, monitoring deliverables, and providing backup coverage for key executive operations functions.
  • Collaborate with leadership, marketing, technology, facilities, and office services teams to support executive events, client conferences, and high-priority initiatives.

Communications & Materials Development

  • Assist with drafting, proofreading, formatting, and distributing executive communications, including client letters, presentations, LinkedIn updates, holiday communications, and other external-facing materials.
  • Ensure materials align with company brand standards and reflect the CEO’s voice, tone, and communication style.
  • Conduct quality checks for grammar, formatting, accuracy, and consistency before final distribution.
  • Proactively identify content, milestones, or accomplishments that may be appropriate for executive communications and outreach.


Job Scope

This role operates at the center of the CEO’s office and requires exceptional discretion, foresight, and responsiveness. The Executive Assistant will regularly interact with senior executives, clients, Board members, and external partners while managing confidential information and high-priority work.

Success in this role requires the ability to anticipate needs before they arise, keep executive operations moving smoothly, and ensure the CEO is consistently prepared for meetings, travel, communications, and strategic engagements.


Skills & Experience

Required Qualifications

  • Bachelor’s degree required.
  • 3+ years of experience supporting senior executives in an executive assistant, executive operations, or similar role.
  • Experience supporting and interacting with C-suite executives, Board members, VIPs, clients, or other senior stakeholders.
  • Demonstrated ability to manage complex calendars, meetings, executive travel, expense reporting, and confidential communications.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Proven ability to manage multiple priorities, adapt quickly to changing needs, and remain composed under pressure.
  • High level of discretion, professionalism, objectivity, and confidentiality.
  • Strong organizational, analytical, and problem-solving skills.
  • Experience building collaborative relationships across executive, operational, and support functions.

Technical Skills

  • Proficiency with Microsoft Office Suite, including Outlook, Teams, Word, Excel, PowerPoint, OneNote, and OneDrive.
  • Experience with Zoom, DocuSign, Adobe Pro, SharePoint, Concur or comparable expense platforms.
  • Experience with Salesforce or another CRM platform required; Salesforce experience preferred.
  • Comfortable learning new systems, tools, workflows, and technology platforms quickly.

Preferred Qualifications

  • Experience supporting a CEO, President, Managing Partner, or senior executive within financial services, professional services, investment management, consulting, or another highly client-facing environment.
  • Experience coordinating Board meetings, executive events, or client conferences.
