The Firmwide HR Assistant is responsible for providing crucial administrative and project support for the Human Resources team across the firm. Reporting directly to the Director of HR Systems, this position provides daily transactional assistance to the HRIS department and actively participates in a range of firmwide HR initiatives and programs. To thrive in this role, the individual must demonstrate outstanding organizational abilities, meticulous attention to detail, and the capacity to effectively prioritize and handle multiple responsibilities while consistently maintaining confidentiality and professionalism in a fast-paced workplace.

Representative Key Responsibilities

  • Provide comprehensive administrative support to the Firmwide HR Department, including document processing (scanning and e-filing), mailings, invoice processing, travel arrangements, expense reimbursements, and support for firmwide HR projects.

  • Process daily HR transactions within the firm's HRIS system and other related platforms, ensuring accuracy and timeliness.

  • Assist the HRIS team in the administration of firmwide HR programs, addressing Workday and system inquiries, and resolving process issues.

  • Gather, review, and analyze HR data as needed, maintaining data integrity and confidentiality.

  • Develop and deliver training materials and sessions for employees and managers on HR systems and processes.

  • Ensure efficient recording, secure storage, and reporting of HR metrics.

  • Identify, document, and contribute to process improvements and change initiatives.

  • Support additional duties and special projects assigned by the HR leadership team.

Required Education, Knowledge and Experience

  • Bachelor's degree in Human Resource Management, Information Systems, or a related field; OR

  • One to two years of comparable administrative experience in a professional services setting, preferably in a fast-paced environment.

Required Skills and Abilities

  • Demonstrates a strong commitment to maintaining confidentiality and handling sensitive information with the utmost discretion.

  • Proven ability to quickly learn new systems and adapt to technological changes in a dynamic environment.

  • Microsoft Office Expertise: Advanced proficiency in Microsoft Office applications, particularly Excel and Word.

  • Maintains a positive, professional demeanor and works effectively both independently and as part of a collaborative team.

  • Strong verbal and written communication skills for interacting with employees and external vendors.

  • Excellent analytical and technical abilities with meticulous attention to detail demonstrates strong problem-solving and multitasking skills.

  • Consistently works efficiently and confidentially within established human resource protocols.

  • Displays initiative, manages priorities independently, and consistently meets deadlines while contributing positively to team objectives.

  • Ability to lift or move 40 lbs. or greater

  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.

  • Ability to walk, bend, kneel, stand or sit for an extended period of time

The Compensation range for this role is 25.00 to 28.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
