Front Office Operations Lead

Location: Palm Beach Gardens, FL

Overview

Front Office Operations Lead is a key leadership role responsible for ensuring an exceptional patient experience from the moment of first contact through the entire in-office journey. This individual oversees the scheduling department, front desk, and reception team, implementing systems that optimize efficiency, professionalism, and consistency across all touchpoints.


At OneLife Health & Performance—Palm Beach’s premier longevity and regenerative aesthetics practice—the Front Office Operations Lead will uphold elite service standards while managing team performance, patient flow, and daily operations in a fast-paced, high-end medical environment.


Key Responsibilities

  • Oversee daily operations of the front desk, scheduling, and reception areas to ensure seamless patient experiences.
  • Lead, train, and manage front office and reception staff, fostering a culture of excellence, accountability, and hospitality.
  • Develop and implement scheduling systems and patient communication protocols to optimize provider utilization and minimize wait times.
  • Coordinate cross-departmental communication between clinical staff, patient care coordinators, and management to maintain operational flow.
  • Manage check-in and check-out processes, ensuring accuracy in payments, documentation, and scheduling of follow-up appointments.
  • Monitor key performance indicators (KPIs) related to scheduling efficiency, call volume, patient wait times, and service quality.
  • Assist in hiring, onboarding, and evaluating front office staff performance.
  • Maintain compliance with HIPAA, brand standards, and OneLife’s high-touch patient experience model.


Skills & Qualifications

  • 2+ years of experience in medical or wellness front office management (concierge or aesthetics experience strongly preferred).
  • Proven leadership skills with the ability to motivate, train, and manage a team.
  • Strong understanding of scheduling software, EMR systems, and patient communication workflows.
  • Exceptional interpersonal, organizational, and problem-solving abilities.
  • High emotional intelligence with a polished, professional demeanor.
  • Ability to thrive in a fast-paced, high-volume, luxury healthcare environment.
