Job Title: Executive Admin

Job Description

We are seeking a highly proactive and detail-oriented Executive Admin/Business Partner to support senior HR leadership and key executive stakeholders. This role goes beyond traditional administrative support and serves as a trusted partner responsible for optimizing executive effectiveness, driving operational execution, and enabling a best-in-class employee experience. This individual will manage complex calendars, coordinate travel, prepare executive-level presentations, and ensure seamless daily operations for a group of four senior executives across different business units. The role requires a high degree of ownership, strong decision-making capabilities, and the ability to anticipate needs before they arise. Additionally, this individual will contribute to employee engagement initiatives, coordinate events such as town halls and leadership meetings, and support cross-functional projects. Success in this role requires exceptional organizational skills, executive presence, strong communication abilities, and the confidence to operate independently in a fast-paced, high-visibility environment.

Responsibilities

  • Manage complex calendars for multiple senior executives.
  • Coordinate travel arrangements and logistics.
  • Prepare and polish executive-level presentations.
  • Ensure seamless daily operations for senior executives.
  • Contribute to employee engagement initiatives.
  • Coordinate events, including town halls and leadership meetings.
  • Support cross-functional projects.
  • Anticipate needs and act proactively with minimal direction.

Essential Skills

  • 4+ years of experience supporting senior executives.
  • Advanced Excel skills, including creating Pivot Tables and manipulating datasets.
  • Proficiency in PowerPoint for building executive-level presentations.
  • Expert-level calendar and travel management skills.
  • Experience with operational tools such as expense reporting and invoicing systems (Concur, SAP, or similar).
  • Strong emotional intelligence and interpersonal awareness.
  • Ability to manage multiple priorities and shifting deadlines.
  • High level of discretion with confidential information.

Additional Skills & Qualifications

  • Bachelor’s degree preferred or equivalent experience.
  • Experience coordinating onboarding and employee experience initiatives.
  • Comfortable working with ambiguity and driving outcomes independently.
  • Exposure to Oracle Fusion is a plus.
  • Experience working closely with HR leadership.
  • Background in employee engagement program execution.
  • Familiarity with Power BI data exports/reporting.
  • Experience supporting cross-functional executive teams (Finance, IT, Operations).
  • Vendor coordination and facilities support.
  • Event planning for large-scale or executive-level meetings.
  • SharePoint collaboration tools.
  • Project tracking and documentation management.
  • Experience in highly matrixed or global organizations.

Work Environment

This role operates in a dynamic, fast-paced, and collaborative environment with engaging and approachable leadership. The standard work hours are Monday to Friday from 8am to 5pm. While travel is not required, it may occasionally occur. The role offers exposure to senior executives across multiple business functions, including HR, IT, Finance, and Operations, providing opportunities for career growth and strategic impact.

Pay and Benefits

The pay range for this position is $37.50 - $40.86/hr.
