Graduate Assistant - Admissions Office
Department: Admissions
Reports To: Associate Director of Admissions / Director of Admissions
Status: Graduate Assistant (Part-Time)
Position Summary
The Graduate Assistant for the Admissions Office plays an integral role in supporting the daily operations of the Admissions team while providing exceptional customer service to prospective students and their families. This position offers hands-on experience in higher education administration, enrollment management, event planning, customer relations, and admissions operations.
The Graduate Assistant will assist with office operations, data management, visitor experiences, admissions counselor support, and recruitment events while serving as a positive ambassador for Bethel University.
Primary Responsibilities
Admissions Operations
  • Assist with data collection, entry, and maintenance within the University's CRM (SLATE) and admissions systems.
  • Ensure student records are accurate, complete, and updated in a timely manner.
  • Generate reports and assist with admissions data tracking as requested.
  • Support ongoing operational projects and departmental initiatives.

Front Desk & Welcome Center Support
  • Support with front desk coverage when needed during designated office hours.
  • Welcome prospective students, families, and guests with enthusiasm and professionalism.
  • Support with answering and directing incoming phone calls and assist with general inquiries when needed.
  • Help maintain a clean, organized, and inviting Welcome Center environment.
  • Assist with visitor check-in, appointment coordination, and hospitality.

Admissions Counselor Support
  • Assist admissions counselors with communication campaigns, mailings, and recruitment projects.
  • Help prepare admissions materials for visits, travel, and recruitment events.
  • Provide administrative support for counselor territories and student outreach initiatives.
  • Assist with follow-up communication to prospective students and families.

Events & Visit Experience
  • Assist with planning, coordinating, and executing campus visit programs and admissions events.
  • Help prepare event materials, signage, registration areas, and hospitality spaces.
  • Support event setup, teardown, and logistical coordination.
  • Assist during occasional evening and weekend recruitment events, including Open Houses, Preview Days, and special admissions programs.

Team Collaboration
  • Partner with the Admissions Operations team on departmental projects.
  • Contribute ideas that improve efficiency, customer service, and the prospective student experience.
  • Serve as a dependable member of the Admissions team by assisting wherever needed during peak recruitment seasons.
  • Perform other duties as assigned that support the mission and goals of the Admissions Office.
