Position Summary

The Event Coordinator supports the planning and execution of events by coordinating logistics, event details, client communications, and internal departments. This position works closely with Event Managers and venue departments to ensure events are properly planned, communicated, and executed. The Event Coordinator serves as an important administrative and operational resource throughout the event planning process and during event days.

This role pays an hourly rate of $22.00 - $24.00.

This position will remain open until December 4, 2026.

Responsibilities
  • Assist Managers with the planning and coordination of events, including concerts, sporting events, meetings, community programs, and special events.
  • Serve as a point of contact for event-related information and logistics.
  • Assist with preparing event plans, timelines, checklists, event orders, staffing plans, and other event documentation.
  • Coordinate event details with Operations, Facilities, Security, Guest Experience, Housekeeping, Ticketing, and other departments.
  • Assist with scheduling meetings, site visits, walkthroughs, and event planning sessions.
  • Communicate event requirements, changes, and updates to internal departments and appropriate external partners.
  • Assist with coordinating event setup, room layouts, signage, equipment, furniture, and other operational needs.
  • Support Event Managers during event days and assist with resolving operational issues.
  • Conduct pre-event and post-event walkthroughs as assigned.
  • Assist with loading dock schedules, vendor access, deliveries, and event-related logistics.
  • Maintain accurate event files, calendars, contact lists, and documentation.
  • Assist with preparing post-event reports and tracking event-related information.
  • Support client and guest service by responding to questions and escalating concerns when appropriate.
  • Assist with event settlements, invoices, purchase orders, and other administrative processes as assigned.
  • Ensure event activities are conducted in accordance with company policies, venue procedures, and safety standards.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's degree in Event Management, Hospitality, Business, Sports Management, or a related field, or equivalent experience.
  • 1-2 years of experience in event coordination, hospitality, venue operations, or a related field.
  • Excellent communication skills and customer service skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong attention to detail and follow-through.
  • Proficiency with Microsoft Office Suite.
  • Ability to work effectively in a fast-paced, team-oriented environment.
  • Experience working in an arena, stadium, convention center, performing arts center, hotel, or similar venue.
  • Experience with concerts, sporting events, conferences, or large-scale events.
  • Experience working with event management software.
  • Experience coordinating vendors, contractors, or event partners.
  • Strong understanding of event planning and logistics.
  • Excellent organizational skills, project coordination skills, and time-management skills.
  • Ability to prioritize and manage multiple event requirements.
  • Ability to work collaboratively with clients, vendors, and internal departments.
  • Strong problem-solving skills and attention to detail.
  • Professional demeanor and commitment to exceptional guest service.
  • Ability to stand and walk throughout a venue for extended periods.
