Job description

Description:

The Enrollment Assistant supports all aspects of the admissions and enrollment process at The Miriam School for students in Kindergarten through 12th grade. Working closely with the Director of Enrollment Management, this role helps ensure that prospective families experience a responsive, organized, and welcoming admissions process.

The Enrollment Assistant plays a central role in coordinating admissions logistics, managing communications with families, and maintaining accurate enrollment data in the school's CRM system.

Key ResponsibilitiesAdmissions Operations
  • Serve as a welcoming first point of contact for prospective families by phone, email, and in person.
  • Work with the development and academic teams to schedule campus tours and student shadow visits.
  • Track applications and ensure all required documents are received and organized.
  • Prepare admissions files and materials for review by the Director and the admissions committee.
Event Coordination
  • Assist in planning and coordinating admissions events, including open houses, tours, and information sessions.
  • Manage event logistics, including registration, communications, materials, and attendee follow-up.
  • Support the Director during admissions events and campus visits.
CRM and Data Management
  • Maintain accurate and up-to-date records in the school's CRM system (currently Blackbaud).
  • Enter and update inquiry, application, and enrollment data on a daily basis.
  • Assist in tracking admissions activity and preparing enrollment reports.
Administrative Support
  • Prepare admissions correspondence and materials for prospective families.
  • Maintain admissions calendars, timelines, and checklists.
  • Provide general administrative and organizational support for the enrollment office.

Requirements:
  • Bachelor's degree preferred; relevant administrative experience may be considered in place of a degree.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Comfort working with databases or CRM systems (experience with Blackbaud is a plus).
  • Ability to manage multiple tasks in a fast-paced, collaborative environment.
  • Experience working with neurodivergent students or in special education settings is desirable.
  • Familiarity with educational documentation such as IEPs, 504 plans, psychoeducational evaluations, and transcripts is helpful.
