Summary
Your role in our mission
Essential Job Functions
  • Maintains and updates all company policy, procedures, process or training documents and materials to ensure that company administrative needs are met.
  • Converts all regulated documents from paper to electronic media and vice versa, to ensure that relevant documents are available in requested forms, when appropriate.
  • Assists in the administration of company records retention management program, including researching, analyzing, negotiating and distributing retention schedules to ensure that relevant employees are informed of all program policies and updates.
  • Processes and fills requests for all forms and documents, which include pulling orders, checking quantity, packaging for shipment to area offices and delivery to employees to ensure that all document needs are met.
  • Develops and maintains an inventory of all document movement from one database to another to ensure that all documents are tracked and accounted for effectively.
  • Oversees the distribution of all documents to ensure that access to documents is limited to appropriate personnel and is delivered in a timely manner.
  • Oversees the destruction of relevant documents to ensure that all documents are destroyed according to legal and company guidelines.
  • Provides work guidance for less experienced personnel.

Basic Qualifications
  • High school diploma or G.E.D.
  • Four or more years of document control/forms experience
  • Experience working with company document maintenance policies and procedures and company databases
  • Experience working with legal document maintenance and destruction procedures
  • Experience working with business units and functions in order to ensure that documents are dispatched and/or duplicated by authorized personnel only

Other Qualifications
  • Communication skills to communicate with employees regarding requested records
  • Good skills in tracking and routing documentation
  • Leadership skills to guide and mentor the work of less experienced personnel
  • Good personal computer and business solutions software skills to maintain and update document inventory
  • Ability to work independently
  • Ability to keep sensitive and confidential material private or available to authorized personnel only

The pay range for this position is $32,800.00 - $46,900.00 per year, however, the base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience among other factors.
