Position: Project Management Assistant

Hours: 40 hours per week

Position Summary
The Project Management Assistant supports the project management team in coordinating customer projects, maintaining communication between customers and the factory, tracking production schedules, and assisting with issue resolution. This role provides administrative and operational support to ensure smooth project execution and timely delivery.
Responsibilities
  • Assist create RFQs for new projects.
  • Assist with day-to-day coordination of new and existing POs and input POs into the system.
  • Help manage customer requests, including PO updates, RFQs, expedites, drawings, and forecast collection.
  • Assist in logging customer complaints, monitoring RMA status, and coordinating next steps with internal teams.
  • Responsible for shipment documentations preparation, including but not limited to packing slips, invoices, and PTNs.
  • Coordinate with logistics team to ensure on-time delivery including but not limited to monitoring tracking numbers and parts on-time delivery. Ensure POs received at customer site.
  • Responsible for account receivable (AR) and account payable (AP).
  • Other duties assigned by the supervisor.
Qualifications
  • Bachelors degree in Supply Chain, Business, or related field.
  • Strong negotiation, analytical, and organizational skills.
  • Proficient in ERP systems, procurement software, and Microsoft Office.
  • Excellent communication and stakeholder management skills.
  • Knowledge of supplier management, logistics, inventory control, and cost analysis.
  • Experience in electronics, semiconductor, or high-tech manufacturing.
  • Familiarity with sustainability initiatives and ethical sourcing requirements.
  • Ability to manage multiple priorities and projects in a fast-paced environment.
