Position Summary
The Permanent Art Collection Assistant supports the care, documentation, and accessibility of the department's permanent art collection. This role is responsible for researching artwork provenance, monitoring condition, maintaining accurate records, and supporting faculty and public access to collection information through organized documentation and digital tools.
Primary Duties and Responsibilities
  • Conduct research on the provenance and historical background of works in the permanent art collection.
  • Review artworks regularly for wear, damage, or conservation concerns, and report findings as needed.
  • Assist with condition documentation, including written notes and photographic records.
  • Label artworks according to archival and collection standards.
  • Maintain, update, and organize collection inventories and records.
  • Take high-quality photographs and precise measurements of artworks for documentation and reference.
  • Create and manage QR codes that link individual artworks to informational sheets and digital records.
  • Ensure informational materials are accessible and accurate for faculty, students, and the general public.
  • Assist with other collection-related tasks as needed to support exhibitions, teaching, and departmental initiatives.

Required Knowledge and Qualifications
  • Art History major or significant coursework in Art History or a closely related field.
  • Strong understanding of art handling, documentation, and visual analysis.
  • Excellent organizational and record-keeping skills.
  • Ability to accurately photograph artworks and record measurements.
  • Comfort working independently and managing detailed, ongoing projects.

Preferred Skills
  • Familiarity with museum or archival standards.
  • Experience with collections management, cataloging systems, or databases.
  • Basic understanding of QR code generation and digital asset organization.
  • Strong attention to detail and ability to maintain consistency across records.

Required Qualifications
Experience working with the Permanent Art Collection, organizing, reviewing, research artists and the provenance of the piece and labeling the art correctly for archival research.
Graduate from UNF/Art History and currently enrolled in a Master of Art History.
