Job Title: Claims Associate I
Location: Miami
Department: Claims
Reports To: Claims Manager

Job Summary:

The Claims Associate I plays a critical support role in the Claims Department by handling administrative tasks, managing documentation, scheduling activities, and assisting Claims Associate II to ensure that files are complete, organized, and moving forward efficiently. This is an entry-level to mid-level role designed for individuals who are detail-oriented, organized, and eager to grow within the public adjusting field.

Key Responsibilities:

1. Administrative Support

  • Assist Claims Associate II in organizing and maintaining claim files.
  • Upload and tag documents (e.g., policies, estimates, inspection photos, invoices) to the Fila Management system.
  • Prepare standard forms and letters such as notices of representation, follow-up requests, and scheduling confirmations.

2. File Organization & Data Entry

  • Ensure that claim notes, communications, and documents are filed under the correct categories and associated with the correct contacts.
  • Assist with updating claim status fields, deadlines, and task lists in the File Management system.

3. Client Follow-Up & Requests

  • Make courtesy calls or send emails to gather missing documents (e.g., receipts, invoices, signed contracts).
  • Assist in answering basic client questions or routing them to the appropriate Claims Associate II.

4. Internal Collaboration

  • Support multiple Claims Associate II or a specific team depending on the workload.
  • Coordinate with the Scheduling team to ensure inspection appointments with clients, carriers, contractors, and adjusters are completed.
  • Follow up after inspections to ensure reports and photos are received and filed.
  • Coordinate with the Estimating and Field Teams to obtain supporting documentation for supplements or new claims.

5. Compliance & Checklist Monitoring

  • Help ensure claim files meet internal checklist requirements before submission to the Public Adjuster or other internal departments.
  • Flag incomplete files or missing documents to Claims Associate II and team leads.
  • Monitor deadlines for responses, supplemental submissions, and inspection scheduling.
