Job Location: Gainesville, VA Summary: As a Billing Representative you will be responsible for efficiently process a high volume of customer invoices and ensure that each individual client's database and folder is updated. What You'll Do:
  • Generate Customer Invoices:
    • Works with customer work orders for customers with Time & Material service agreements and customers with standard extended warranty and maintenance plans.
    • Transition billing details to MASterMind or other invoicing software as required to generate invoice in compliance with customer requirements.
    • Follow written documentation and guides to properly price work performed in customer invoices.
  • Processing Vendor Partner Invoices:
    • Review contractor invoices to validate time on site, work performed, and compliance with labor, equipment, and travel pricing requirements.
    • Validate other expenses listed, such as travel, lifts, multiple technicians which require approval and documentation.
    • Communicate with contractors to review invoices in detail, issue short-pay notifications for unapproved invoice details, and validate work performed.
  • Intradepartmental Coordination:
    • Work with Service Department teams to validate approval of non-standard job costs, such as costs exceeding customer standing approval, multiple technician service calls, travel, and other pricing variations as required by team documentation.
What You'll Need:
  • HS diploma or equivalent - required.
  • 3 - 4 years of experience with Data Entry, Invoice Processing, Accounts Payable and Accounts Receivable.
  • Computer Proficiency - Microsoft Office.
  • Time Management - Ability to handle high volume invoices and process efficiently.
  • Customer Skills - Communicate with internal and external customers.
  • Attention to Detail - Review the invoice details and coordinate with departments to provide accurate invoicing.
