IP Operations Coordinator

Cooley is seeking an IP Operations Coordinator to join the IP Services team.

*Hybrid Schedule Philosophy: As part of the Cooley culture, we recognize and appreciate the value of being together, in person, to build comradery with others in the office and to be a contributing member of the Cooley office. However, we also appreciate the benefits and flexibility that come from remote working. As such, the default assumption for employees and partners is a hybrid schedule: some in-office presence and some work from home days. Employees on a hybrid work schedule must work from their regular state of residence during hybrid remote days and are expected to be within a commutable distance of a Cooley office. (Department director or manager will provide direction on your schedule and any in-office expectations).

Position Summary: The IP Operations Coordinator oversees projects and duties supporting the IP Operations team and the practice. Serves as coordinator and resource for IP Services business planning and project support. Specific duties and responsibilities include, but are not limited to, the following:

Position Responsibilities:

  • Support practice group members with establishing, updating, and maintaining accounts to access USPTO systems
  • Collect and organize information for inclusion in various communication tools to the IP practice groups
  • Maintain IP practice group pages on the firm's intranet
  • Coordinate various group wide meetings, presentations, internal and offsite training sessions, including reserving conference rooms with appropriate IS and catering setup, video conference logistics, travel arrangements, course registration, composing of communications, handout preparation, participant tracking etc.
  • Assist with maintaining IP practice group Policies and Procedures Manuals
  • Lead training for IP new hires on invoice processing and assist in developing training materials for the practice
  • Research various vendor invoice issues and assist in developing solutions and/or communications
  • Maintain data in Excel, MS Lists, PowerBI, and SharePoint to support various IP Leadership Team initiatives and tasks
  • Support the IP Leadership team in their annual project process, including but not limited to, create materials and conduct training on use of the firm's project management software, assist with project creation and modifications, keep the IP Leadership team organized and focused on meeting project deadlines, and any other assistance that is helpful to ensure projects are completed in a timely manner
  • Interface with other firm departments (including Business Information and Conflicts, Risk Management, Finance, Information Governance, Information Services) to resolve problems and increase efficiencies for the IP practice groups and enable better client service
  • Prepare and modify correspondence, communications, presentations, educational materials and other documents within Outlook, Excel, Word, PowerPoint and Visio
  • Develop and update various forms, charts and databases to track special projects
  • Provide administrative support to the Director of IP Services
  • All other duties as assigned or required

Skills & Experience

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required
  • 2+ years of experience as an IP Assistant, Operations Assistant or equivalent role

Preferred:

  • Bachelor's Degree
  • Law firm experience

The expected hourly pay range for this position with a work schedule of 40 hours per week is $31.50-$42.00 ($65,520 - $87,360 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
