Job Description:
Job Summary
The Associate Operations Coordinator - Events will support the Purdue MEP Operations team by coordinating, preparing, and scheduling client-facing events, including both public and onsite engagements. Key responsibilities include aiding with the following: (1) preparation and maintenance of training materials; (2) management of public workshops, (3) client data entry and record maintenance, (4) marketing and promotional support; (5) procurement of event-related materials; and (6) other administrative and operational support as needed. This role will collaborate closely with all aspects of Purdue MEP's Operations team to support cross-training initiatives and improve operations efficiency.
This position requires strong professional and concise communication skills, with a customer service driven aptitude, and the ability to be flexible to changing priorities.
The office location for this position will be located at Purdue MEP office in Carmel, Indiana.
Strict adherence to Purdue MEP's confidentiality policies is required.
Duties & Responsibilities
  • Assist with the planning and preparation of client events across the state of Indiana in support of the MEP center's delivery team - kit logistics, training material preparation, client data entry, etc.
  • Provide administrative support for workshop events such as assistance with registrations, room reservations, lead generation, and general internal communications.
  • Assist with developing and revising MEP center curriculum including presentation updates, proofreading, participant guide organization, etc.
  • Collaborate, back-fill and cross-train with other Operations roles to support various MEP center administrative functions.
  • Prep and maintain supply of marketing materials for sales staff. Prep needed marketing & trade show items for scheduled events across the state.
  • Supplemental administrative tasks, such as proofread marketing and workshop materials for accuracy, scheduling, and website updates.

What We're Looking For:
  • Bachelor's degree in Communications, Business administration, Manaagement, Information Technology or a related field
  • Zero to one year of experience
  • Consideration will be given to an equivalent combination of required education and related work experience
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to handle frequent interruptions, prioritize multiple tasks, meet deadlines, maintain confidentiality, and move projects and events forward
  • Meticulously detail oriented with strong organizational and team management skills
  • Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Skilled in building professional relationships that foster collaboration while promoting safe workspaces to enhance and support teamwork environments
  • Skilled in interpreting policies and procedures to proactively resolve issues, while adhering to and supporting University and departmental guidelines and quality objectives
  • Ability to identify process obstacles and roadblocks for internal process improvement with a road map for resolution
  • Ability to use discretion and independent judgment to make sound decisions balancing facts, priorities, and possible outcomes; weighing when to involve Senior Management, engage peers, or independently resolve
