Position Summary

The operations coordinator plays a critical role in supporting day-to-day specialty pharmacy operations by coordinating workflows. collecting and reporting on key performance indicators and providing oversight select strategic initiatives. This role ensures operational continuity, timely execution of processes, and high-quality service for patients, providers, and internal stakeholders. The operations coordinator acts as a central point of communication. Problem solver and process support resource within the pharmacy operations leadership team.

Key Responsibilities Operational Coordination & Account Support
  • Coordinate operational workflows far both existing and newly onboarded specialty pharmacy accounts, ensuring smooth transitions and consistent execution.
  • Support intake, benefits investigation, and prior authorization through effective coordination and follow-up.
  • Monitor daily work and operational hand-offs ensure revenue targets are met, ensure timely prescription processing and efficient service delivery.
  • Identify workflow risks. or delays and escalate issues with recommended solutions.

KPI Tracking & Operational Reporting

  • Collect track. and report on key performance indicators (KPls) related to operational performance, service levels, and account execution.
  • Maintain operational dashboards, trackers and reporting tools for leadership review.
  • Analyze trends and variances to support operational decision- making and continuous improvement.
  • Support data validation and ensure accuracy and consistency in reporting.

Strategic Initiative & Project Support

  • Provide operational oversight and coordination for select strategic initiatives, pilots and process improvement efforts.
  • Support implementation of new workflow technology enhancements, and operational standards.
  • Track milestones„ deliverables. and outcomes for assigned initiatives and escalate risks as needed.
  • Assist leadership with preparation of materials, updates and summaries related to strategic initiatives.
Cross- Functional Communication & Leadership Support
  • Serve as a key liaison between pharmacy operations, intake, reimbursement, nursing, clinical and distribution teams.
  • Facilitate clear communication of priorities, status updates, and operational changes.
  • Support coordination with external partners such as provider offices, payers, and vendors as needed.
  • Assist with onboarding coordination, training logistics, and change management efforts.
Compliance, Quality & Documentation
  • Support adherence to regulatory and accreditation requirements, including URAC, ACHC, and applicable state and federal regulations.
  • Assist with audit preparation. documentation tracking. and quality initiatives.
  • Maintain and update SOPs, Workflows, and operational reference materials.
  • Help ensure operational processes align with internal policies and quality standards.


Required Qualifications
  • High school diploma or equivalent (associate or bachelor’s degree preferred).
  • 2+ years of experience in specialty pharmacy, pharmacy operations, healthcare operations or a related field.
  • Demonstrated experience coordinating workflows and supporting cross-functional teams
  • Strong organizational, analytical, and time-management skills.
  • Ability to manage multiple priorities in a fast – paced regulated environment.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Excel, Word, Outlook, and operational tracking tools.
Preferred
  • Experience supporting new account onboarding or implementation in a specialty or infusion pharmacy setting.
  • Familiarity with intake, benefits investigation, prior authorization, and fulfillment workflows.
  • Experience tracking, reporting, or supporting operational KPIs,
  • Knowledge of URAC, ACHC or other healthcare accreditation standards.
  • Pharmacy technician experience or certification (where applicable).
