Job description

Wilson & Company, Inc., Engineers & Architects, is currently seeking a Senior Field Services Coordinator to support our Railroad Field Services. We are looking for a candidate with great communication skills who enjoys working with a team in a fast-paced environment. This position will oversee the Field Services Coordinators, Utility Inspector Coordinators (UICs) and the Project Field Auditors while ensuring projects are executed safely, efficiently, and on schedule.

Essential Job Functions:

  • Assist the Scheduling and Field Services Operations Manager with daily field operations and workload distribution.
  • Lead and support field staff in coordinating field services.
  • Support communication between field personnel, inspectors, flaggers, contractors, clients, and internal teams.
  • Assist with emergency scheduling adjustments and after-hours coordination as needed.
  • Support onboarding and training new Utility Inspection Coordinators (UICs).
  • Assist with implementation of process improvements and operational efficiencies.
  • Ensure compliance with railroad requirements, company procedures, and safety standards.
  • Provide clarity for stakeholders.

Responsibilities

  • Coordinate daily field activities and team workload assignments.
  • Supervise and mentor field staff while providing guidance and support.
  • Track project progress and staffing needs across multiple projects.
  • Maintain communication with inspectors, railroad representatives, and clients.
  • Assist in resolving project conflicts and resource allocation issues.
  • Ensure personnel and resources are assigned appropriately.
  • Escalate significant operational concerns to the Scheduling and Field Services Operations Manager.
  • Participate in project coordination and pre-construction meetings.
  • Promote a collaborative and customer-focused team environment.
  • Oversight and management of Field Services Coordinators, Utility Inspector Coordinators (UICs) and the Project Field Auditors.
  • Ensure UICs are properly trained and qualified for assigned projects.
  • Provide Railroad(s) review, input/feedback, and interpretation of policies and guidelines for adherence and improvement.
  • Oversee Project Field Auditors and coordinate audit priorities across assigned projects.
  • Assign digital and field audits to Project Field Auditors based on project needs, workload, and schedule requirements.
  • Review completed digital and field audits for accuracy, completeness, compliance, and required follow-up.
  • Generate and distribute audit reports to the Scheduling and Field Services Operations Manager.

  • Experience coordinating projects with contractors, clients, and railroad personnel.
  • Familiarity with project tracking, reporting, and compliance documentation.
  • Experience resolving scheduling conflicts and managing resource allocation.
  • Knowledge of railroad requirements and operational procedures is preferred.
