About the Role:
The Operations Coordinator provides administrative and operational support to Project Managers and Operations leadership. This role is responsible for job setup and maintenance in Spectrum, coordinating project-related documentation, supporting subcontractor and vendor tracking, assisting with invoice review and coding, and helping ensure accurate customer billing. The Operations Coordinator serves as a key liaison between Operations, Project Management, and Accounting to support efficient project execution.
Essential Duties & Responsibilities:
- Enter and maintain job information in Spectrum.
- Review and code AP invoices with the appropriate job numbers.
- Coordinate with Project Managers to verify work completion and invoice accuracy.
- Track subcontractor usage and maintain project-related records.
- Assist with customer billing and supporting documentation.
- Maintain project files and ensure accurate recordkeeping.
- Support reporting and data entry related to project operations.
- Coordinate communication between Operations, Project Managers, and Accounting.
- Perform other administrative and operational duties as assigned.
Minimum Qualifications:
- High school diploma or equivalent required; associate degree preferred.
- 2+ years of administrative, project support, or operations coordination experience.
- Construction, utility, or project-based industry experience preferred.
- Experience with Spectrum or similar ERP systems strongly preferred.
- Strong organizational, communication, and time-management skills.
- Proficient in Microsoft Office Suite, particularly Excel.
