Job description

Overview

We are seeking a detail-oriented and proactive Procurement Operations Coordinator to support the accurate processing, tracking, and reporting of purchase orders across multiple customer projects. This role serves as a critical link between Project Management, Finance, and external clients ensuring procurement workflows run smoothly, data integrity is maintained, and client expectations are met. While initially supporting the New York City Department of Education portfolio, this role is designed to scale across Gordian's growing customer base.

Key Responsibilities
  • Process, track, and reconcile purchase orders across customer and Gordian systems, ensuring accuracy and alignment to project budgets
  • Serve as the primary point of contact for clients and internal stakeholders on PO status, updates, discrepancies, and resolution
  • Maintain complete and audit-ready procurement records and documentation to support compliance and financial reporting
  • Monitor PO activity across contracts and project portfolios, proactively flagging risks, variances, or delays
  • Drive continuous improvement by identifying workflow gaps and recommending process enhancements that improve speed, accuracy, and operational efficiency
  • Support internal teams in achieving customer goals and key performance metrics through timely and accurate procurement execution
  • Manage competing priorities across multiple projects while maintaining strong client relationships and service delivery standards
Required Qualifications
  • Bachelor's degree or equivalent combination of education and relevant work experience in Business, Supply Chain Management, or related field
  • 3+ years of experience in Procurement, Purchasing, Contract Administration, or Project/Construction Management
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Strong analytical, organizational, and problem-solving skills
  • Excellent written and verbal communication skills with a customer service orientation
  • Ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment
  • Self-motivated with the ability to work both independently and collaboratively within a team
Preferred Qualifications
  • Experience with ERP systems and reporting tools
  • Proficiency in Power BI and/or Smartsheet
  • Familiarity with public sector procurement processes
Work Location & Schedule
  • This is a remote position open to candidates located nationwide
  • Must be available to work Eastern Time zone business hours
  • Minimal travel required
