Job description

About the Role

Nyman Associates is seeking a highly proactive, strategic, and systems-minded Strategic Operations Coordinator to support senior leadership and help drive organizational effectiveness across the company. This role is ideal for someone who thrives in fast-paced environments, enjoys solving complex operational challenges, and takes pride in creating clarity, structure, and momentum.

This is not a traditional administrative role. The Strategic Operations Coordinator acts as a force multiplier for leadership by improving execution, building scalable systems, and ensuring important initiatives move forward without dropped balls or constant oversight.

What You’ll Do

Executive & Strategic Support

  • Prepare leaders for meetings with context, summaries, recommendations, and key follow-ups
  • Track decisions and ensure accountability across teams
  • Help prioritize competing demands and surface operational risks early
  • Manage high-level coordination and execution for strategic initiatives

Initiative & Project Coordination

  • Drive projects forward independently with strong ownership
  • Maintain timelines, deliverables, next steps, and accountability systems
  • Coordinate cross-functional communication and follow-through
  • Build and maintain clear status reporting for leadership visibility

Systems & Process Improvement

  • Create SOPs, workflows, templates, trackers, and documentation
  • Identify breakdowns or inefficiencies across departments and improve them
  • Build scalable operational systems that reduce friction and increase clarity
  • Continuously improve how work gets done across the organization

Communication & Stakeholder Management

  • Communicate professionally and effectively with internal and external stakeholders
  • Navigate sensitive information with discretion and maturity
  • Support leaders in ensuring the right information reaches the right people at the right time
  • Maintain professionalism while managing multiple personalities and priorities

Operational Excellence

  • Track contracts, deadlines, renewals, reimbursements, and operational details
  • Maintain strong organizational systems and documentation practices
  • Ensure clean execution within compliance and budgetary guidelines
  • Support operational rigor across leadership functions

What Success Looks Like

A successful Strategic Operations Coordinator:

  • Anticipates needs before problems arise
  • Follows through consistently without reminders
  • Creates order out of complexity
  • Improves how the organization operates—not just how one person’s day runs
  • Produces high-quality work with strong attention to detail
  • Builds systems that make teams more effective over time

Qualifications

Must-Haves

  • Exceptional reliability and follow-through
  • High initiative and proactive problem-solving ability
  • Strong organizational and project coordination skills
  • Excellent written and verbal communication
  • Strategic thinking with a systems-oriented mindset
  • Ability to handle ambiguity and prioritize effectively
  • Professional discretion and sound judgment
  • Comfort working closely with senior leadership
  • Strong technical fluency with modern workplace tools (Google Workspace, project management systems, presentations, calendars, etc.)
  • Financial and operational common sense

Preferred Traits

  • Creative thinker who enjoys improving processes
  • Calm under pressure with strong emotional intelligence
  • Resourceful and adaptable
  • Able to balance strategic thinking with hands-on execution
  • Passionate about operational excellence and continuous improvement

What We’re Looking For

This role is a strong fit for someone who:

  • Loves building systems and improving workflows
  • Enjoys solving real operational problems
  • Takes ownership without waiting to be asked
  • Thrives in dynamic, mission-driven environments
  • Is willing to contribute at any level without ego
  • Brings warmth, professionalism, and maturity to a team

Why Join Nyman Associates?

At Nyman Associates, we value people who bring initiative, thoughtful execution, and a genuine desire to make organizations run better. You’ll have the opportunity to work closely with leadership, contribute meaningfully to strategic operations, and help shape scalable systems that support long-term growth and impact.
