OPERATIONS COORDINATOR

Position Summary
The Operations Coordinator provides operational, logistical, and analytical support for LSUA's marketing and advertising initiatives. This role ensures that campaigns are executed efficiently, on schedule, and within budget by coordinating vendors, tracking expenditures, managing timelines, and reporting performance outcomes.
This position serves as the central point of contact between the Strategic Communications team and vendors, faculty, business units, and community partners, supporting informed decision-making without holding ad-buy or budget authority.
Key Responsibilities

Manage and organize marketing and advertising projects within established schedules and budget parameters to support university communications initiatives.

Coordinate with vendors to pitch marketing needs, solicit quotes, and gather recommendations related to advertising placements and services.

Advise the Assistant Vice Chancellor of Strategic Communications and the Brand Coordinator by synthesizing vendor proposals, pricing, and performance insights.

Track the division's marketing and advertising budget throughout the fiscal year, including funds spent to date, encumbered funds, and remaining balances.

Provide timely budget updates and reporting to the Strategic Communications team to support planning and transparency.

Oversee media buy logistics, print production coordination, promotional purchases, and vendor execution (without purchasing authority).


Additional Responsibilities

Maintain and manage vendor relationships, including coordinating contracts, deliverables, timelines, and performance expectations and review campaign performance and compile post-campaign reports for internal stakeholders.

Manage the division's marketing and advertising calendar to ensure alignment across campaigns, initiatives, and deadlines.

Coordinate with Strategic Communications team members to ensure required creative assets are delivered to vendors accurately and on time.

Process all marketing-related purchases, invoices, and payments through Workday in accordance with university policies.

Qualifications

Bachelor's degree required.

Strong organizational and project management skills with exceptional attention to detail.

Ability to manage multiple projects and deadlines simultaneously.

Comfort working with budgets, invoices, contracts, and financial tracking systems (or demonstrated ability to learn quickly).

Strong analytical and communication skills, including the ability to summarize vendor reporting for non-technical audiences.

Strong written and verbal communication skills.

Hours: Eight (8) hours per day, Monday - Friday, 40 hours a week. Additional hours worked as warranted by current initiatives and projects.


Salary: Starting base pay of $38,000-45,000. Eligible for merit and equity increases.
