Executive Assistant & Operations Coordinator
Position Summary
We are seeking a high-energy, solutions-driven Executive Assistant and Operations Coordinator to serve as the right hand to the Director of Nursing (DON) while leading front desk operations.
This role is ideal for someone who thrives in a fast-paced healthcare environment and leads by example. You will support executive-level administrative needs while also stepping into daily operations to ensure the front desk and patient experience run smoothly.
This is not a passive administrative role. The ideal candidate is proactive, intuitive, and hands-on, with strong leadership skills and a willingness to step in wherever needed to support the team.

Key Responsibilities
Executive and Administrative Support
  • Provide direct administrative support to the Director of Nursing
  • Assist with scheduling, communication, reporting, and operational follow-ups
  • Anticipate needs and proactively manage priorities
  • Serve as a liaison between departments to support communication and execution
Front Desk Leadership
  • Lead and support the front desk team to ensure a high-quality patient experience
  • Maintain accountability for front desk coverage, workflow, and performance
  • Step in to support front desk operations during high volume or staffing gaps
  • Coach team members and reinforce expectations and standards
Operational Support
  • Act as an extension of the DON in daily operations
  • Assist with patient needs, room turnover, and overall clinic flow as needed
  • Identify inefficiencies and take initiative to improve processes
  • Help maintain an organized, responsive, and patient-focused environment
Flexibility and Coverage
  • Adjust schedule as needed to support operational demands
  • Fill in for call-ins or staffing gaps, including front desk coverage
  • Support the team during peak times or unexpected challenges
