Job description

ROLE DESCRIPTION

The Logistics & Operations Coordinator is the operational backbone of Wesper’s fulfillment and logistics function, working directly alongside the Logistics Manager on a small, high-ownership team. This role is primarily focused on managing day-to-day 3PL communication, ensuring order accuracy across two daily push cycles, coordinating returns and RMA processing, and maintaining precise inventory records. The right person is hands-on, detail-oriented, and comfortable operating across multiple systems in a fast-paced environment.

This role will work approximately 20 hours per week with core working hours of 9:30-1:30 pm ET
This is a remote first role, with occasional travel required to our Long Island City facility.


WHAT YOU WILL BRING

  • Attention to detail catching order discrepancies before they ship 
  • 3PL fluency: you've worked with third-party logistics partners and know how to communicate clearly across email and WMS ticketing systems.
  • Warehouse and inventory experience,  you've managed incoming and outgoing orders and kept inventory records accurate across systems.
  • Hands-on returns inspection, comfortable physically receiving, inspecting, and logging returned or damaged units one by one.
  • Quality mindset 
  • Deadline discipline you've worked in environments with hard daily cutoffs


RESPONSIBILITIES

Order Verification
  • Verify all outbound orders for accuracy, including product type, quantity, and destination.
  • Identify and correct discrepancies before shipment.
  • Communicate order issues promptly with sales, operations, and warehouse teams.

3PL Communication & Coordination

  • Liaise with third-party logistics (3PL) partners to manage inbound/outbound shipments and returns.
  • Communicate shipment instructions and schedules clearly to ensure accuracy and timeliness.
  • Track shipments, handle delivery exceptions, and ensure smooth warehouse-to-3PL coordination.
Inventory Management
  • Maintain accurate and up-to-date inventory records in the warehouse management system.
  • Support regular stock counts, cycle counts, and reconciliation activities.
  • Coordinate stock movement related to RMA, refabrication, and order fulfillment.
  • Work closely with the Warehouse Manager to identify and resolve inventory discrepancies.

Refabrication Coordination

  • Conduct hands-on inspection and sorting of returned or defective units as part of the RMA workflow.
  • Coordinate with production and quality teams to ensure timely completion of repair or rework tasks.
  • Verify all refabricated units meet quality standards before re-shipment.

REQUIRED SKILLS AND QUALIFICATIONS

  • Bachelor's degree in Business, Supply Chain, Logistics, or a related field preferred — or equivalent work experience
  • 1-2+ years of experience in logistics coordination, warehouse operations, or order management.
  • Hands-on experience working with 3PL partners, including day-to-day communication and WMS ticket management.
  • Proficiency in Excel or Google Sheets for logging, tracking, and reconciliation tasks.
  • Strong attention to detail comfortable catching and correcting order discrepancies before they escalate.
  • Excellent written communication skills; the majority of 3PL coordination is conducted via email.
  • Clear communicator with the ability to work cross-functionally
  • Comfortable working independently in a fast-paced, remote environment
  • Ability to manage multiple daily deadlines (order push cycles) and shifting priorities.
  • Remote first but able to reliably commute to Long Island City, NY as needed
