Job Summary

    The Account Management Coordinator provides operational, administrative, and contract support for the Professional Services team and B.E. Smith Account Managers. This role serves as a key liaison between internal departments and the Interim Leadership business, ensuring accurate account setup, contract administration, data integrity, compliance with established processes, and exceptional customer service.

    The Account Management Coordinator manages placement documentation, contract approvals, Salesforce case management, reporting, account auditing, and business operations activities that support successful interim leadership engagements. This position requires strong attention to detail, contract administration skills, CRM proficiency, data analysis capabilities, and the ability to manage multiple priorities in a fast-paced environment.

    Job Responsibilities
    • Contract & Placement Administration
      • Create Interim Leader PTRs upon creation of Placement Records in Salesforce.
      • Review and validate Statements of Work (SOWs) and placement records for completeness, accuracy, and compliance with established SOX requirements.
      • Coordinate contract approvals with account management, sales leadership, contract leadership, housing, and travel teams.
      • Process contract modifications, extensions, and addendums within established service-level agreements (SLAs).
      • Maintain travel allowance and compensation-related information within applicable placement records.
      Data Quality & Account Management
      • Audit and reconcile placement information, including:
        • Travel allowances
        • Bonuses
        • Housing and furniture arrangements
        • Insurance information
        • Pay rates
        • Reimbursements
      • Ensure account and placement records are accurate, complete, and updated throughout the engagement lifecycle.
      • Identify and resolve discrepancies in contract and placement data.
      Salesforce & Workflow Coordination
      • Manage and prioritize Salesforce case queues.
      • Route requests to appropriate internal stakeholders.
      • Track and monitor case resolution to ensure timely completion.
      • Support cross-functional communication between front-office and back-office teams.
      Reporting & Business Analytics
      • Generate and distribute operational and performance reports.
      • Analyze key business metrics, trends, and KPIs.
      • Provide data insights that support operational efficiency and business growth initiatives.
      Customer Service & Collaboration
      • Serve as a trusted resource for internal stakeholders regarding contract and placement processes.
      • Partner with cross-functional teams to resolve issues and ensure a positive customer experience.
      • Communicate contract requirements, approval status, and process updates clearly and professionally.
      Additional Support
      • Manage VMS order extensions through systems such as ShiftWise, eRecruit, and related vendor management platforms.
      • Participate in special projects and process improvement initiatives as assigned.
      Required Qualifications
      • High school diploma or GED.
      • 1+ year of experience in administrative support, operations coordination, account management support, staffing, human resources, contract administration, or a related field.
      • Experience working with CRM systems such as Salesforce or similar platforms.
      • Strong attention to detail and ability to maintain accurate records and documentation.
      • Experience managing multiple priorities and meeting deadlines in a fast-paced environment.
      • Proficiency with Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
      • Strong written and verbal communication skills.
      • Ability to analyze data, identify discrepancies, and resolve issues effectively.
      Preferred Qualifications
      • Bachelor's degree in Business Administration, Human Resources, Healthcare Administration, or a related field.
      • 1-3 years of staffing, recruiting, workforce solutions, healthcare staffing, or human resources experience.
      • 1-3 years of Salesforce experience.
      • Experience reviewing contracts, managing approvals, or supporting contract administration workflows.
      • Experience working with vendor management systems (VMS) such as ShiftWise, eRecruit, or similar platforms.
      • Experience generating reports, analyzing KPIs, and supporting business operations reporting.
    Work Environment / Physical Requirements
    • Work is performed in an office/home office environment.
    • Team Members must have the ability to operate standard office equipment and keyboards.
