What You Can Expect Working in the Project Coordinator Position

The Project Coordinator reports to the Armoda Senior Project Manager and coordinates document control/management for custom projects through the production lifecycle. This role works closely with project managers to ensure that all required document deliverables, procurement of appropriate building materials and services, and reports for the projects are completed on schedule. The Armoda Project Coordinator participates in tracking and communicating receipt of orders, construction progress, manhours, and project-related costs to project management. Additional tasks with close supervision include preparing change orders, requests for information (RFI), addendums, and performing material take-offs. The role will have direct interface with engineering groups, project managers, procurement, production, logistics, external vendors, third parties and customers.

Responsibilities
  • Plan and prepare detailed, project-specific submittals (procedures, data sheets, reports, etc.).
  • Coordinate with subcontractors to ensure timely receipt of 3rd party submittal documentation.
  • Submit documentation for client review per project specifications via e-mail or web-based document management system applications.
  • Distribute client-reviewed documentation to project team and appropriate subcontractors.
  • Assist project team in the sourcing and procurement of appropriate building materials and services, as well as furnishings, fixtures, and equipment (FFE).
  • Track and communicate receipt of orders, construction progress, manhours, and project-related costs to project management.
  • Attend, participate, and note-take during project meetings, conference calls, inspections, and functional acceptance tests (FAT).
  • Assemble final vendor data book(s) with client-approved “as-built” documentation, per project specifications.
Minimum Qualifications
  • Associate degree or higher in Business or related field.
  • 0-2 years of project coordination and/or a document control process.
  • Proficient use of Microsoft software applications (Outlook, Word, Excel, PowerPoint, OneDrive, Project, and Teams).
  • Effective written, interpersonal and communication skills with the ability to work as part of a team involving staff, clients, and outside agencies.
Preferred Qualifications
  • Ability to interpret engineering documents and drawings/details.
  • Ability to understand basic engineering /construction principles related to modular structures.
  • Strong attention to detail and problem-solving skills, including ability to identify and resolve discrepancies in project documentation.
  • Strong organizational skills, including an ability to prioritize activities and work with limited supervision.
