Our client is seeking a highly motivated and detail-oriented Project Coordinator to join our dynamic team. In this role, you will assist our client's project managers in planning, coordinating, and executing important civil infrastructure projects for our local, state, and federal clients.

Responsibilities:

  • Enhance Project Management Processes: Assist in implementing and improving project management processes, workload management, and project financial reporting.
  • Contract Management and Compliance: Prepare and maintain business registrations, contracts, task orders, certifications, and compliance audits a.
  • Project Performance Monitoring: Assist project managers in monitoring project performance, including tracking schedules, budgets, financial metrics, and resource allocation.
  • Document Management: Manage project records, file sharing systems, and documentation to ensure accurate and organized records.
  • Contract Administration: Maintain contract files and documentation, track key dates and deliverables, and ensure compliance with contract terms and billing requirements.
  • Financial Management: Generate and review client invoices, prepare progress reports, and coordinate with accounting to ensure financial accuracy and compliance.
  • Meeting Coordination: Coordinate project meetings, including scheduling, agenda preparation, setup for virtual and in-person platforms, and follow-up on action items.
  • Administrative Support: Support to project managers, including scheduling meetings, managing calendars, processing expense reports, and assisting with task prioritization.
  • Office Management: Order, maintain, and track business supplies and coordinate office and company events to foster a positive work environment.
  • Online Presence Management: Update the company website and social media platforms to promote our brand and engage with our audience effectively.
  • Business Development Support: Participate in proposals and business development efforts by monitoring and tracking requests for proposals and providing assistance as needed.

Required Qualifications:

  • Minimum 5 years of project coordination experience, preferably in an engineering consulting firm.
  • Strong organizational skills and meticulous attention to detail.
  • High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, Teams, OneNote, SharePoint) and Adobe Acrobat.
  • Basic proficiency in MS Project, Google Earth, and virtual meeting platforms.
  • Familiarity with contracts, invoicing, and general accounting practices.
  • Desire to learn engineering and design processes, contract requirements, project financials, and operations.

Other Useful Qualifications:

  • Bachelor's degree in engineering, business, communications, project management, or related field.
  • Advanced understanding of accounting practices.
  • Advanced knowledge of engineering processes and civil infrastructure consulting.
  • Experience in business development, marketing, and client relationship management, preferably in engineering consulting.
  • Fluency in Spanish.
