JOB SUMMARY

The Timekeeper is responsible for accurately recording and tracking employees' work hours, attendance, and payroll-related data for agricultural operations. This role ensures compliance with labor regulations, assists with wage calculations, and maintains detailed records to support farm management and payroll processing.

Requirements

KEY RESPONSIBILITIES:

  • Accurately collect, review, and verify daily time records for hourly production employees.
  • Monitor employee clock-in and clock-out activity to ensure accuracy and compliance with company policies.
  • Identify and resolve time discrepancies, missed punches, incorrect job coding, and pay-related issues in coordination with supervisors.
  • Communicate with supervisors to confirm hours worked, departmental allocations, productivity tracking, and labor distribution.
  • Track attendance, absences, tardiness, PTO, vacation, sick leave, and other leave programs.
  • Prepare and submit approved time records and payroll data to the Payroll department in accordance with established deadlines.
  • Generate reports on attendance, overtime, productivity, and labor costs to support operational and HR decision-making.
  • Maintain accurate and organized records for audits, inspections, and internal controls.
  • Address employee inquiries regarding hours worked, pay discrepancies, and timekeeping processes.
  • Maintain confidentiality of employee time and payroll information.
  • Assist in employee scheduling based on operational needs.
  • Ensure compliance with company policies, safety standards, and regulatory requirements.


QUALIFICATIONS:

  • Basic Computer Skills - Word/Excel, Outlook 
  • Strong attention to detail, organizational skills, and the ability to work independently.
  • Excellent Communication Skills. Bilingual abilities (e.g., Spanish/English/Haitian-Creole) are preferred.


WORKING CONDITIONS

  • Work is performed primarily onsite in a food manufacturing environment, with a combination of office-based duties and time spent in production and the warehouse.
  • Regular exposure to a manufacturing environment that may include varying temperatures, including outdoor conditions, non-climate-controlled areas, and refrigerated or cooled production spaces.
  • Exposure to noise, moving equipment, forklifts, and farm or food processing machinery may occur.
  • Position requires close interaction with hourly field and production employees, supervisors, and management throughout the workday.
  • Standard full-time schedule; extended hours, early mornings, weekends, or peak-season schedules may be required based on operational needs.
  • Must comply with all company safety policies, food safety standards, OSHA regulations, and agricultural labor requirements, including the use of personal protective equipment (PPE) when necessary.


PHYSICAL REQUIREMENTS

  • Ability to sit for extended periods while performing data entry, reporting, and payroll-related tasks.
  • Ability to stand and walk regularly when collecting time data, verifying attendance, or interacting with employees and supervisors in operational areas.
  • Ability to move between the office, production, warehouse, and outdoor farm areas as required.
  • Ability to bend, reach, stoop, and climb stairs as needed.
  • Ability to lift and carry up to 25 pounds, with or without reasonable accommodation.
  • Ability to work in environments with variable temperatures, including hot, cold, humid, and non-climate-controlled conditions.
  • Visual acuity sufficient to read computer screens, printed reports, and timekeeping records; auditory ability sufficient to communicate effectively in a noisy work environment.


EDUCATION:

  • High school diploma or equivalent required; additional training in payroll or HR is a plus.
