Job Overview

We are seeking a highly skilled and detail-oriented Experienced Bookkeeper with MSP (Managed Service Provider) experience to join our growing organization. In this role, you will be responsible for managing all core bookkeeping and financial operations, including billing, accounts receivable, accounts payable, payroll coordination, and financial reporting.

This position is critical to ensuring accurate financial data, strong cash flow management, and alignment between our PSA system (ConnectWise) and accounting platform (QuickBooks Online). The ideal candidate has hands-on MSP experience and understands recurring revenue models, agreements, and billing workflows unique to the MSP industry.

Responsibilities

  • Manage day-to-day bookkeeping and accounting operations using QuickBooks Online (QBO)
  • Perform bank and credit card reconciliations and maintain accurate general ledger records
  • Execute monthly close process, including journal entries and financial adjustments
  • Manage all client invoicing through ConnectWise, ensuring accuracy with agreements, additions, removals, and proration
  • Track, apply, and reconcile client credits and billing adjustments
  • Oversee accounts receivable and collections:
    • Follow up on invoices 15+ days past due (email and phone)
    • Escalate accounts over 30 days to leadership
  • Process accounts payable, manage vendor bills, and maintain vendor accounts
  • Coordinate and place equipment orders with vendors (Dell, CDW, Ingram Micro, etc.)
  • Reconcile vendor expenses including Pax8 (Azure), Kaseya, and American Express
  • Oversee payment processing through Flexpoint or similar payment platforms
  • Support payroll processing, bonus tracking, and commission calculations
  • Manage multi-state compliance requirements (MA, CT, RI, FL, NY, GA), including unemployment and payroll-related obligations
  • Administer employee onboarding/offboarding and benefits coordination (e.g., BC/BS)
  • Prepare and file 1099s and support year-end close with CPA firm
  • Oversee sales tax compliance using Avalara
  • Set up new clients and ensure proper billing alignment within ConnectWise
  • Prepare monthly, quarterly, and annual financial reports for leadership
  • Assist with budgeting, forecasting, and financial planning
  • Identify process improvements to enhance financial accuracy and efficiency

Qualifications

  • Proven experience as a Bookkeeper within an MSP (Managed Service Provider) environment (REQUIRED)
  • Strong understanding of MSP billing workflows, including agreements, proration, and recurring revenue models
  • Proficiency in:
    • QuickBooks Online (QBO)
    • ConnectWise (Manage + billing workflows)
  • Solid knowledge of accounting principles, including general ledger, journal entries, and reconciliations
  • Experience with accounts receivable, collections, and accounts payable
  • Experience managing multi-state payroll and compliance requirements
  • Familiarity with tools such as Avalara, Pax8, Flexpoint, or similar platforms preferred
  • Strong attention to detail and high level of accuracy
  • Excellent organizational and time management skills
  • Strong communication skills, with the ability to work effectively with internal teams and clients
  • Ability to prioritize and manage multiple responsibilities in a fast-paced environment
