This is not a traditional administrative assistant position. Every day is different. One day you may be assisting with business registrations, permits, and compliance filings. The next you may be researching equipment purchases, coordinating with regulators, updating company records, assisting with bookkeeping, or helping management evaluate new business opportunities.
We are looking for someone who enjoys solving problems, learning new systems, and helping keep a small business organized and moving forward.
Responsibilities

  • Assist with accounts receivable and accounts payable data entry.
  • Prepare invoices, maintain records, and support bookkeeping activities.
  • Process approved vendor payments and maintain financial documentation.
  • Coordinate business registrations, renewals, permits, licenses, and compliance filings.
  • Assist with SAM.gov, DIR, Secretary of State, contractor licensing, insurance, and other regulatory requirements.
  • Maintain equipment, vehicle, and business records.
  • Research vendors, equipment, software, services, and business opportunities.
  • Contact agencies, suppliers, contractors, and clients to obtain information and resolve issues.
  • Assist with proposal preparation, document management, and project administration.
  • Maintain company databases, filing systems, and operational tracking logs.
  • Coordinate schedules, meetings, and administrative workflows.
  • Support management with special projects, research assignments, and strategic initiatives.
  • Identify opportunities to improve efficiency, organization, and business operations.

Qualifications

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Ability to conduct independent research and solve problems.
  • Experience with Microsoft Office, Google Workspace, and common business software.
  • Experience with QuickBooks or bookkeeping software preferred.
  • Strong attention to detail and follow-through.
  • Ability to manage multiple priorities and adapt to changing needs.
  • Valid California drivers license and clean driving record required.
  • Ability to pass a background check and provide professional references.
Ideal Candidate

The ideal candidate is naturally curious, highly organized, and comfortable learning new systems. They enjoy finding answers, coordinating details, and helping a small business operate more effectively. They can work independently, communicate professionally, and take ownership of projects from start to finish.
About Thunder Mountain Enterprises
