POSITION DETAILS
Job Title: Patient Representative
Status: Full-time, year-round; Benefits Eligible

Location: This is an in-office position primarily based at our Aspen and Basalt Clinic locations.
Schedule: Monday - Friday; shift dependent on business needs
Pay Range: The entry pay for this position is $22.00/hour and is dependent on experience. Entry pay will increase from this base rate based on health care or applicable customer service experience.
POSITION OVERVIEW
The Patient Representative is a key member of the operations team, responsible for providing a warm and welcoming experience for patients from the moment they arrive. This role includes greeting patients, handling administrative tasks associated with patient processing, and ensuring the waiting area is clean and inviting. The Patient Representative serves as an excellent communicator, adept at interacting with individuals across all professional levels and adapting to the needs of a dynamic environment. This position also involves managing correspondence as directed, performing front desk duties such as answering phones, directing calls, assisting patients with inquiries or concerns, and determining access for unscheduled visitors.
CORE RESPONSIBILITIES
  • Greet and check patients in and out, ensuring all registration forms are complete and up to date. Scan and verify current insurance cards and driver's licenses. Schedule follow-up appointments as needed, providing clear instructions to patients.
  • Review clinic schedules daily in advance, noting patients who require updated paperwork, have outstanding balances, or need copay collection.
  • Maintain the organization and appearance of the waiting area throughout the day, including stocking and tidying the beverage counter.
  • Ensure all patient rooms and front desk areas are stocked with business cards and relevant materials.
  • Manage all incoming and outgoing clinic correspondence throughout each day, including mail, interoffice communication, and special deliveries.
  • Check and return messages, respond to emails, and relay important updates to appropriate team members in a timely manner.
  • Process patient payments to the clinic as needed: input patient charges on a continual basis, collect and record payments and payment information, balance cash drawer and prepare and reconcile daily deposit funds; use correct procedure to document and report any discrepancies.
  • Collect payments on past due balances, copays, and private pay accounts; initiate payment plans when necessary.
  • Maintain adequate cash denominations to make change and ensure the safekeeping of all funds collected during the day.
  • Provide administrative support to clinic teams and physicians as needed.
  • Assist with onboarding and training new front desk staff, including shadowing, answering questions, and verifying understanding.
  • Occasionally travel to cover shifts at other clinic locations; mileage reimbursement provided.
  • Demonstrate knowledge and adherence to patient privacy rights and HIPAA regulations.
  • Safeguards all medical, financial, and sensitive information-whether printed, electronic, or verbal-to ensure patient privacy and compliance with confidentiality standards.
  • Access and use only the minimum necessary patient-identifiable information required to fulfill job duties, and strictly for authorized purposes.
  • Maintain a professional demeanor in all interactions and represent The Steadman Clinic with integrity and maturity.
  • Foster collegial relationships with patients, coworkers, and partners such as Steadman Philippon Research Institute and hospital personnel.
  • Uphold a personal commitment to the mission and values of The Steadman Clinic.
  • Attend staff meetings and other required meetings to stay informed and aligned with clinic operations.
  • Follow all policies and procedures as outlined in the Employee Handbook.

Requirements
MINIMUM QUALIFICATIONS
  • High school diploma or GED required; minimum of one year of experience in a patient-facing or customer service role.
  • Strong organizational, written, verbal, and interpersonal communication skills.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Excellent telephone etiquette and customer service skills, including the ability to remain calm and courteous when addressing concerns or managing difficult interactions.
  • Proven ability to work efficiently in a fast-paced environment, prioritize multiple tasks, and adapt to a dynamic work setting.
  • Team-oriented with a proactive, energetic, and patient-focused approach to care delivery.
  • Prior experience in a medical practice or healthcare setting preferred.
  • Familiarity with medical insurance billing and terminology is a plus.
