Job description

Description

Rate: $25-$35 hourly

Remote but occasionally will be needed onsite in SF or NYC

The Strategic Operations & Program Management (SO&PM) team serves as the operational backbone of the organization, driving clarity, speed, and efficiency through strategic planning, program management for large-scale initiatives, and cross-functional coordination.

We are seeking a Program Coordinator to support the day-to-day execution of high-priority programs managed by the SO&PM team. This role will keep programs moving forward by driving scheduling, cross-functional coordination, creative review workflows, and deliverable tracking, ensuring nothing falls through the cracks.

This person will partner closely with program managers, creative strategists, social teams, communications leads, and external agency partners to maintain momentum on complex, multi-workstream programs. The ideal candidate is highly organized, proactive, thrives in a fast-paced environment, and has a strong bias toward action.

Responsibilities
  • Drive day-to-day program momentum by scheduling and facilitating meetings, tracking action items, and ensuring follow-through across workstreams.
  • Coordinate cross-functional stakeholders, aligning creative, social, communications, and public affairs teams on deliverables, timelines, and dependencies.
  • Push creative review processes forward by managing review cycles, routing feedback, tracking approvals, and flagging blockers to keep content moving through the pipeline.
  • Maintain and update project plans, timelines, status trackers, and workback schedules to ensure programs stay on track.
  • Prepare and distribute meeting agendas, notes, and recaps; track decisions and escalate outstanding items.
  • Support the editorial calendaring process, ensuring accuracy of content plans and alignment across teams.
  • Build and maintain operational documentation, including process guides, RACI frameworks, and workflow templates that support scalable program execution.
  • Conduct quality assurance reviews on program deliverables to ensure accuracy, consistency, and adherence to brand and editorial standards.
  • Support program managers with ad hoc operational needs, including research, logistics, and communications support.
Minimum Qualifications
  • 4+ years of experience in program coordination, project management, or production coordination in marketing, communications, creative, or media environments.
  • Demonstrated experience coordinating across multiple teams and stakeholders with competing priorities.
  • Strong organizational skills with meticulous attention to detail and the ability to manage multiple workstreams simultaneously.
  • Excellent written and verbal communication skills, with the ability to clearly communicate status, escalate issues, and drive alignment.
  • Proficiency with project management and collaboration tools (e.g., Asana, Jira, Google Workspace, or similar).
  • Proactive, self-starter mentality with the ability to operate with minimal supervision and anticipate needs.
Preferred Qualifications
  • Experience working in or with social media, content, or creative teams at scale.
  • Familiarity with creative review and approval workflows, including routing feedback across stakeholders.
  • Experience supporting large-scale campaigns, product launches, or major organizational initiatives.
