Expeditor / Records Follow-Up Specialist

$17 to $19 per hour based on experience

Position Overview

Champion Records is seeking a highly organized and professional Expeditor / Records Follow-Up Specialist to join our growing team.

This position is responsible for communicating directly with hospitals, clinics, copy services, custodians of records, and other facilities to confirm receipt of subpoenas and authorizations, verify status of requests, obtain page counts and invoices, coordinate payment, and expedite delivery of records.

The ideal candidate is confident on the phone, detail-oriented, persistent, and able to professionally manage high call volume while maintaining excellent documentation and communication.


Essential Responsibilities

  • Contact medical facilities, copy services, employers, banks, and other custodians regarding record requests
  • Confirm receipt of subpoenas, authorizations, and legal documents
  • Follow up on aging requests and expedite completion of records
  • Obtain page counts, fee information, and estimated completion dates
  • Coordinate payments and document all communication within company software
  • Track outstanding requests and identify delays or potential issues
  • Communicate updates to internal Case Managers and clients
  • Maintain accurate notes and status reporting
  • Assist with resolving rejected or incomplete requests
  • Meet daily productivity and communication goals
  • Provide professional customer service in all interactions
  • Other duties as assigned


Qualifications

  • Previous customer service, collections, call center, legal support, or record retrieval experience preferred
  • Strong verbal and written communication skills
  • Comfortable making outbound phone calls throughout the day
  • Strong attention to detail and organizational skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Basic computer proficiency and typing skills required
