Job Title: Utilization Review Assistant (Non-Clinical) - Mailroom Operations
This position is On-Site: MO - Jefferson City - 3425 West Truman Blvd
Hours: Training would be M-F 7:30am - 4:00pm CST. Following training would be 8-hour shift between 6am -5pm CST
Hourly rate: $17-$18 (Based on Experience)
Summary of Position
The Utilization Review Assistant provides non-clinical operational support to the Coordinated Care Department, with a primary focus on mailroom operations, document intake, and workflow management for utilization review activities.
This role is responsible for ensuring timely receipt, processing, tracking, and distribution of medical records and certification-related documentation. The position supports utilization review staff and providers by maintaining accurate, organized, and accessible records in accordance with internal policies, regulatory requirements, and evidence-based review processes.
The Utilization Review Assistant interacts regularly with internal staff, healthcare providers, and third-party administrators to facilitate efficient communication and ensure the integrity of the review workflow.
Essential Duties & Responsibilities
Mailroom & Document Management
  • Receive, sort, and prioritize incoming mail, faxes, and electronic documents related to utilization review and certification requests
  • Perform high-volume scanning, indexing, and electronic filing of medical records into appropriate systems
  • Ensure all documents are accurately categorized, labeled, and routed to the appropriate clinical or operational staff in a timely manner
  • Maintain tracking logs and monitor document workflow to ensure adherence to turnaround time requirements
  • Identify incomplete or missing documentation and escalate or follow up as needed

Utilization Review Support
  • Assist Coordinated Care staff by reviewing incoming documentation for completeness and adherence to submission requirements
  • Prepare and organize records for clinical review, ensuring all required information is included
  • Support certification workflow by facilitating intake and distribution of cases to clinical staff

Communication & Customer Support
  • Answer inbound provider calls and respond to voicemail inquiries related to documentation, status, and submission processes
  • Communicate professionally with providers, internal staff, and third-party administrators to exchange information and resolve issues
  • Document all interactions and case updates accurately within designated systems

Administrative & Operational Support
  • Operate office equipment including multi-line phone systems, high-volume scanners, and copiers
  • Maintain organized workspaces and adherence to document retention and confidentiality standards (HIPAA compliance)
  • Assist with workload balancing and provide cross-functional administrative support as needed
  • Proactively identify process improvement opportunities to enhance efficiency and accuracy

Experience / Ability Needed
  • High school diploma or GED required
  • Minimum of one (1) year of experience in mailroom operations, document management, healthcare administration, or utilization review support preferred
  • Basic knowledge of medical terminology preferred
  • Strong data entry and document management skills with high attention to detail and accuracy
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and ability to learn internal systems
  • Effective verbal and written communication skills, including professional phone etiquette
  • Ability to manage high-volume, time-sensitive workloads with accuracy and efficiency
  • Strong organizational skills with the ability to track and prioritize multiple tasks
  • Ability to work independently and collaboratively in a fast-paced environment
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately

Physical Requirements
  • Ability to frequently lift, carry, and move materials weighing up to 25 pounds, including boxes of medical records and mail
  • Ability to stand, walk, bend, and reach for extended periods during mail processing and scanning activities
  • Manual dexterity required for operating scanners, copiers, and other office equipment

For this position, actual salaries will vary and may be above or below the range based on various factors including but not limited to location, experience, and performance. In addition to base pay, this position, based on business need, may be eligible for a bonus or incentive. In addition, Conduent provides a variety of benefits to employees including health insurance coverage, voluntary dental and vision programs, life and disability insurance, a retirement savings plan, paid holidays, and paid time off (PTO) or vacation and/or sick time. The estimated hourly rate for this role is $17-$18.
