Job description

As a Mailroom Operations Associate, you will play a key role in ensuring smooth and compliant handling of incoming mail, documents, and checks for our client. This position combines mail processing, document preparation and scanning, checking processing in a fast-paced, deadline-driven environment where accuracy and attention to detail matter.
Location - Onsite in Westwood, Massachusetts
Schedule - Monday through Friday, 8am-5pm EST (occasional overtime on heavy delivery days).
In this role, you will:
• Receive, open, sort, prep, and scan incoming mail and documents.
• Prioritize work based on operational requirements and established service levels.
• Ensure all mail is processed accurately and in accordance with client and company procedures.
• Assist with document retention and destruction process.
• Prepare documents for scanning (removing staples, repairing pages, batching).
• Process checks and related financial documents according to established procedures.
• Support deposit preparation and reconciliation activities.
• Ensure compliance with all security, handling, and audit requirements.
• Operate scanners, and other mailroom equipment to digitize documents.
• Monitor supply inventory and flag replenishment needed.
• Support teammates during peak volume and communicate issues promptly.
• Keep the mailroom clean and organized.
What you need to have to be considered:
• High school diploma or equivalent
• Strong organizational, time management, and attention to detail skills.
• Ability to lift/move packages up to 30 lbs. and stand for extended periods.
• Basic computer skills (e.g., Microsoft Office, email).
• Clear verbal and written communication skills.
• Comfort working in a fast-paced, deadline-driven environment

• Previous mailroom, document processing, records management, or banking operations or administrative experience.
• Familiarity with scanners, copiers, or other document-processing equipment.
• Experience in a regulated or compliance-focused environment.

Hourly Rate and Other Compensation:
The hourly rate for this position is between $18.00 - $19.50 per hour depending on the experience and other qualifications of the successful candidate.
This position is also eligible for Cognizant's discretionary annual incentive program, based on performance and subject to the terms of Cognizant's applicable plans.
