Job description

Automated Health Systems, a dynamic healthcare management company, is seeking a Mailroom Operations Lead to support the daily operations of a high-volume mailroom and document processing environment. This role provides day-to-day leadership to mailroom staff while assisting with workflow coordination, quality monitoring, and operational support to ensure incoming and outgoing mail is processed accurately and efficiently.
The Mailroom Operations Lead serves as a subject matter resource for the team, assists with training and coaching, helps resolve operational issues, and works closely with management to meet productivity, quality, and service level goals.

Responsibilities
  • Coordinate daily mailroom workflow and prioritize document processing activities
  • Provide guidance, training, and day-to-day support to Mailroom Clerks
  • Assist with assigning work and monitoring productivity to ensure service level expectations are met
  • Process incoming and outgoing mail, scanned documents, and correspondence
  • Monitor document quality and accuracy while ensuring compliance with established procedures
  • Assist in resolving workflow issues and escalated processing concerns
  • Maintain inventory of mailroom supplies and equipment and report maintenance needs
  • Support onboarding and cross-training of new employees
  • Track operational metrics and communicate workflow updates to management
  • Recommend process improvements to increase efficiency and quality
  • Assist with special projects and perform related duties as assigned
Qualifications
  • High school diploma or equivalent required; Associate degree preferred
  • Minimum of 2 years of mailroom, document processing, or administrative operations experience
  • Previous experience providing work direction or serving as a team lead preferred
  • Strong organizational and time management skills
  • Excellent attention to detail and accuracy
  • Strong communication and interpersonal skills
  • Proficiency with Microsoft Office and document management systems
  • Ability to prioritize multiple tasks in a fast-paced production environment
  • Ability to lift and move mail containers and boxes as needed
