The Administrative Receptionist - Mailroom Assistant is a key front-line representative of Bosselman Enterprises, responsible for delivering exceptional customer service, answering and directing incoming calls, managing front desk operations, and handling mailroom and administrative tasks. This role ensures a welcoming environment for visitors and employees while maintaining efficient and organized office and mailroom processes.

Responsibilities
  • Projects a professional image and maintain a positive, friendly attitude toward Bosselman Enterprises, its employees, and customers/clients.
  • Handles a wide variety of incoming calls for the corporate office, providing prompt, efficient, and courteous service.
  • Screen sand routes calls appropriately by identifying the service, department, or individual involved.
  • Greets and assists customers/clients entering the corporate office with professionalism and proficiency.
  • Maintains a clean and presentable lobby area.
  • Sorts and distributes incoming and outgoing mail (USPS, certified mail, UPS, FedEx).
  • Processes outgoing mail using the folder inserter machine for company checks.
  • Orders and maintains inventory of office, breakroom, and copier supplies.
  • Organizes and totals checks for daily deposits; balance cash on hand monthly.
  • Provides stamps and change to employees as needed.
  • Assists with scheduling and hospitality for the community room.
  • Supports fleet vehicle check-out and maintenance tracking.
  • Assists the Accounts Payable department with reconciling statements, requesting invoice copies, and updating mailing addresses.
  • Maintains confidentiality of sensitive information.
  • Provides assistance to department team members as needed.
  • Ensures regular and consistent attendance and punctuality.
  • Delivers friendly and competent customer service.
  • Promotes a positive and enthusiastic work environment.

Additional Job Duties:

  • Assists in other duties, as assigned.

Qualifications

Education and/or Experience (include certs or licenses needed):

  • High school diploma or GED.
  • Three to five years of related experience or training, or an equivalent combination of education and experience.

 

Minimum Qualifications:

  • Must have basic telephone skills.
  • Must have basic computer proficiency, including familiarity with Microsoft Excel.
  • Must have excellent communication and organizational skills.
  • Must be able to multitask and work independently.
  • Must be self-motivated.
  • Must be able to maintain confidentiality.

  • Must be able and willing to deliver friendly, courteous, and prompt customer service.
