We are currently seeking a Mailroom Team Lead to join our team.

Position Summary

The Mailroom Lead is responsible for supporting the daily operations of the mailroom by coordinating workflow, ensuring timely and accurate handling of incoming and outgoing mail, and assisting with oversight of mailroom staff and processes. This role helps maintain efficiency, organization, and accountability within a high-volume environment and serves as a resource for team members and leadership regarding mail-related operations.

Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:

  • Assist with coordinating and monitoring daily mailroom operations to ensure timely completion of assigned tasks
  • Oversee the sorting, distribution, preparation, and processing of incoming and outgoing mail
  • Ensure legal correspondence, notices, and other time-sensitive documents are handled accurately and efficiently
  • Support workflow related to scanning, copying, filing, and routing physical mail and documents
  • Assist with assigning daily responsibilities and ensuring mailroom coverage and task completion
  • Audit mailroom work for accuracy, completeness, and adherence to departmental procedures
  • Help identify and resolve workflow issues, delays, or process breakdowns within the department
  • Assist with onboarding and training new mailroom team members
  • Provide ongoing guidance, support, and retraining to staff as needed
  • Reinforce departmental procedures, productivity expectations, and company policies
  • Maintain organized mailroom operations and ensure equipment, supplies, and materials are properly stocked and functional
  • Communicate effectively with internal departments regarding mail handling, routing, and operational concerns
  • Assist leadership with performance support and development of mailroom staff
  • Support process improvement efforts to enhance efficiency, accuracy, and department performance
  • Perform other duties as assigned by department leadership
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • High school diploma or equivalent required; additional education or training is preferred
  • Minimum of two years of experience in mailroom operations, office services, administrative support, or a related operational environment preferred
  • Prior lead, training, or workflow coordination experience preferred
  • Strong attention to detail and ability to maintain accuracy in a high-volume, fast-paced environment
  • Ability to prioritize tasks, manage workflow, and meet deadlines with minimal supervision
  • Ability to work independently while effectively supporting team operations
  • Effective oral and written communication skills
  • Strong organizational, time management, and problem-solving abilities
  • Ability to provide direction, reinforce procedures, and maintain accountability in a professional manner
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook preferred
  • Ability to operate standard office and mailroom equipment, including scanners, copiers, printers, and postage/shipping equipment
  • Ability to maintain professionalism and patience with individuals of varied backgrounds and experience levels
