Position Summary:The Mailroom Logistics Manager is responsible for overseeing mailroom operations and coordinating the secure, timely distribution of mail, packages, and sensitive documents across WellLife Network locations. This role supports operational continuity by maintaining organized workflows, accurate tracking, and reliable transportation of confidential and time-sensitive materials.
Essential Accountabilities:
  1. Oversee the receipt, sorting, and distribution of incoming mail and packages.
  2. Oversee incoming and outgoing USPS, FedEx, UPS, DHL, messenger, and courier services.
  3. Transport mail, confidential records, and sensitive financial documents between agency locations in a timely manner and in accordance with established procedures.
  4. Prepare outgoing mail and shipments, coordinating courier and postal pickups to ensure timely dispatch.
  5. Maintain an organized, secure and efficient mailroom environment that supports daily operations.
  6. Recruit, train, schedule, and supervise mailroom personnel.
  7. Conduct performance evaluations and provide coaching and development.
  8. Ensure appropriate staffing levels to meet service requirements.
  9. Promote a culture of safety, accountability, and customer service.
  10. Maintain accurate chain-of-custody records for financial instruments and other regulated materials.
  11. Ensure compliance with agency security, confidentiality, and risk-mitigation protocols at all times.
  12. Maintain tracking logs, delivery records, and related documentation with a high degree of accuracy.
  13. Coordinate with internal departments and site contacts to support smooth delivery and pickup operations.
  14. Provide logistical support during operational disruptions, urgent deliveries, or emergency response situations as needed.
