Job description

Position Title: Legal Operations Assistant
Reports To: Vice President of Corporate and Legal Affairs
Department: Legal
Status: Non-Exempt
Date: February 2026
Salary:
Broad Functions: The Legal Operations Assistant provides support to Areas' Legal Operations Team. You will support mission-critical projects such as timely application for, and renewal of, new and existing business, restaurant, retail, and liquor licenses by drafting forms, obtaining physical and digital signatures, corresponding with government agencies, collecting licensing requirements, conducting research into licensing requirements, organizing and maintaining files in accordance with company policy, retrieving and collecting corporate records, and various filings with the Secretaries of State. Additionally, you will help the Legal Team organize its tasks through a dedicated task system.
Main Duties and Responsibilities:
1. Obtain work assignments from the Vice President of Corporate and Legal Affairs, the Director of Corporate and Legal Affairs, the Legal Operations Manager, and Corporate Counsel.
2. Support company's nationwide business, health and liquor licenses, including initial application and renewals.
3. Maintain electronic records of all company licenses and government filings.
4. Update and retrieve information from the company's Contract Lifecycle Management tool.
5. Draft correspondence, review and draft form agreements, create spreadsheets and power point presentations.
6. Coordinate with the company's corporate services vendors.
7. Locate and retrieve requested items from the corporation's filing system, which includes both physical and electronic files.
8. Digitize physical files.
9. Maintain the corporate books and records.
10. Submit filings with the Secretary of State.
11. Conduct research into licensing requirements and gather files and documents required for submission to government agencies.
12. Track progress of filings with government agencies from submission through completion.
13. Administrative support as a liaison with designated outside counsel and their staff.
14. Follow company processes to streamline the contract management and licensing process.
15. Assist and coordinate setup of new legal vendors and process and report legal-vendor invoices.
16. Contribute to the continuous development of legal department's role within the organization.
17. Contact and follow up with regulatory bodies as needed to fulfill job assignment.
18. Apply the principles of the corporation's records retention program in developing files and closing of a file.
19. Support the Legal Team by performing administrative daily tasks including coordinating conferences and meetings, distributing mail, filing, and maintaining records.
Skills and Qualifications:
1. Legal assistant certification by an institution approved by the American Bar Association or equivalent job experience.
2. At least three (3) years of experience in a support role in corporate legal department.
3. Technologically savvy.
4. Ability to communicate effectively.
5. Excellent organizational skills.
6. Expert in the Microsoft Suite, including SharePoint, Word, Excel, and Power point.
7. Willing to work overtime as needs if projects dictate.

While performing the duties of this job, the employee is required to sit for extended periods of time. This position is performed within an office environment whose duties are primarily performed behind a desk. Employees in this position frequently operate a computer, read and write, file and interact with others in person, over the phone, and via other devices. They move about within the office to access file cabinets, documents, office machinery, and other equipment. They may also have to do some light lifting of supplies and materials from time to time. Occasionally move objects weighing up to 20 lbs., and sometimes, but rarely, up to 50 lbs.
